Personal Assistant to MD (Pet Universe Veterinary Medical Centre)

Handle confidential and sensitive matters with discretion, sound judgment, and professionalism, especially those related to operational decisions and the company’s reputation;

Manage and coordinate calendars, meetings, travel arrangements, visitation schedules, and logistical requirements;

Prepare, track, and manage expense reports and documentation as required;

Maintain consistent and timely communication, including responsiveness to emails, calls, and messages outside standard office hours when necessary;

Represent the Executive and the organization in a professional manner when liaising with business partners, government bodies, clients, and industry associations;

Conduct research, compile reports, and analyze internal and external information to support operational and strategic decision‑making;

Assist in operational matters requiring coordination across departments and follow‑through on key action items;

Deliver or support staff development training in assigned areas such as Front Desk Operations, Customer Service, Communication Etiquette, Grooming and Professional Presentation, and Managing Customer Expectations;

Support company events, projects, and corporate initiatives when required.

Job Requirements

Proven experience in a Personal Assistant, Executive Assistant, or similar high‑level administrative role;

Strong organizational and time management skills with the ability to work in a fast‑paced and dynamic environment;

Excellent written and verbal communication skills;

High level of initiative, accountability, and follow‑through;

Proficiency in Microsoft Office Suite or equivalent productivity tools;

Ability to handle multitasking and prioritize tasks efficiently;

Proficiency in Mandarin (spoken and written) is preferred, due to frequent cross‑department and cross‑regional communication;

Good personal character, strong stress tolerance, and a service‑oriented mindset—essential for handling confidential matters, cross‑team coordination, and ad‑hoc assignments;

Must be able to speak and write fluently in English (additional languages are an advantage).
