A leading company in Malaysia is seeking a Personal Assistant to support the Deputy CEO. The role involves providing high-level administrative assistance, managing schedules, and facilitating communication with stakeholders. Candidates must have a Bachelor's degree and 3 to 5 years of relevant experience, with strong proficiency in Bahasa Malaysia, English, and Mandarin. Provide high‑level administrative and executive support to the Deputy CEO, managing daily schedules, meetings, and correspondence.
Coordinate and prioritize incoming requests, emails, calls, and other communications on behalf of the Deputy CEO.
Arrange and manage travel plans, accommodations, and itineraries, ensuring smooth and efficient travel logistics.
Prepare and review documents, presentations, reports, and briefing materials for meetings and strategic discussions.
Act as a liaison between the Deputy CEO and internal teams, stakeholders, and external partners to ensure seamless communication.
Organize, schedule, and follow up on meetings, including board meetings, management discussions, and client appointments.
Conduct research and gather information for decision‑making or reporting.
Handle confidential and sensitive information with discretion and professionalism.
Anticipate the Deputy CEO’s needs and proactively manage tasks to optimize time and productivity.
Support special projects, events, and initiatives as directed by the Deputy CEO.
Candidate must possess a Bachelor Degree or equivalent in Business Administration, Management, or a related field.
Minimum of 3 to 5 years of experience as a Personal/Secretary Assistant, preferably supporting senior management.
Strong written and verbal communication skills in Bahasa Malaysia, English, and Mandarin. Proficient in Mandarin to effectively communicate with Mandarin‑speaking stakeholders.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
High level of discretion and integrity in handling confidential information.
Proactive, detail‑oriented, and able to work independently in a fast‑paced environment.
