Job summary

An established organization in Malacca is seeking a Personal Assistant to the Chief of Operations (COO) to provide administrative and personal support. The ideal candidate will manage schedules, coordinate meetings, and assist in various tasks while maintaining confidentiality. Strong organizational skills and proficiency in Microsoft Office are required. Moreover, the candidate must communicate fluently in English, Bahasa Malaysia, and Mandarin, supporting effective interactions with Mandarin-speaking clients.

Qualifications

  • At least 3 years of experience as a PA, Executive Assistant, or in a similar role.
  • Excellent communication skills in English, Bahasa Malaysia, and Mandarin.
  • Strong organizational skills is essential.

Job description
PERSONAL ASSISTANT TO CHIEF OF OPERATIONS (COO)

Providing high-level administrative and personal support to the CHIEF OF OPERATIONS (COO).

Manage calendars, appointments, travel arrangements, and confidential correspondence.

Coordinate and prepare for meetings, including agendas, minutes, and follow-up actions.

Assist in organizing both business and selected personal activities as assigned.

Accompany the COO on business trips and provide on-site support as needed.

Assist with personal errands and family-related logistics when requested.

Assist the COO in research, data analysis, and managing special projects.

Maintain strict confidentiality and display a high level of professionalism at all times.

Support ad hoc tasks as assigned.

Requirements :

At least 3 years of experience as a PA, Executive Assistant, or in a similar administrative support role.

Strong organizational and time-management skills.

Excellent communication and interpersonal skills.

Proficient in Microsoft Office (Word, Excel, PowerPoint).

Ability to multitask and work under pressure.

Well verse communication in English, Bahasa Malaysia and Mandarin to effectively communicate with Mandarin-speakingclients.
