Requirements
- Highly organized with strong attention to detail
- Proficient in Microsoft Excel and Word
- Fluent in English; Mandarin is an advantage
- Possess a valid driving licence and be willing to drive the Director and run work‑related errands when required
- Able to work independently and follow through
Responsibilities
This role supports the Director directly. You will be responsible for managing administrative, operational, and coordination tasks with accuracy, consistency, and follow‑through. This enables the Director to remain highly organised, focused, and at peace.
- Personal Assistant Administration
- Manage the Director’s scheduling, paperwork, and reports
- Track deadlines, submissions, and commitments
- Coordinate communication across teams and follow‑up on action items
- Support daily operations and ad‑hoc tasks assigned by the Director
- Systems & Documentations
- Build and document simple, effective systems and checklists
- Improve at least one system or process each week
- Maintain organised digital filing with clear naming and version control
- Finance Operations (If reporting under CEO)
- Manage staff claims, company budget, petty cash and basic bookkeeping
- Ensure POS data and cash records are accurate
- Manage and improve inventory systems
- Marketing Operations (If reporting under Marketing Director)
- Maintain and update Customer Data
- Support basic marketing tasks, including basic graphic design (Canva) and video editing (CapCut)
- Editing with Photoshop and Adobe Illustrator is an advantage
- Personal Support
- Provide personal administrative support to the Director when required (e.g. scheduling, coordination, errands), within reasonable and professional boundaries
- Logistics, External Liaison & Professional Judgment
- Liase with vendors and external parties when required
- Handle confidential matters with discretion
- Drive the Director and run work‑related errands when required
