Requirements
- Excellent organizational and multitasking skills
- Bachelor’s degree or Diploma in Business Administration, Management, or related field (preferred)
- Minimum 2–3 years of relevant experience as a Personal Assistant, Executive Assistant, or in an administrative support role.
- Strong communication (written & verbal)
- Proficiency with office software (MS Office, Google Workspace, calendar tools)
- High level of discretion, integrity, and professionalism
- Ability to work independently and adapt quickly
Practical Day-to-Day Checklist
- Keep calendar up-to-date and flag conflicts
- Check and sort emails, draft responses where possible
- Screen calls/messages before passing to executive
- Prepare daily briefing notes / to-do list
- Arrange travel, transport, and accommodations
- Prepare documents/presentations for meetings
- Maintain files and ensure quick access to information
- Track expenses and prepare reimbursements
- Handle personal errands (shopping, appointments, reminders)
- Maintain strict confidentiality

Responsibility
1. Administrative Support
- Manage diaries, calendars, and schedules
- Handle correspondence, calls, and inquiries
- Prepare reports, presentations, and documents
2. Time & Task Management
- Prioritize and track deadlines
- Remind and prepare executive for key meetings/events
3. Communication & Liaison
- Act as point of contact between executive and stakeholders
- Draft, proofread, and manage communications
4. Travel & Logistics
- Organize travel arrangements and itineraries
- Manage visas, accommodation, and transport bookings
5. Meeting & Event Coordination
- Organize and prepare for meetings/events
- Record minutes and follow up on action items
6. Confidential Support
- Handle sensitive information with discretion
- Ensure confidentiality at all times
7. Financial/Resource Management
- Process expenses and reimbursements
- Monitor budgets, invoices, and petty cash
8. Personal Support (as required)
- Assist with personal errands and appointments
- Coordinate household/family-related tasks if assigned.
