Job description
Operations Administration Assistant (Cantonese speaker)

This role provides general administration and claims administration support for the Property, Casualty & Technical Special Risks (PCTSR) Loss Adjusting team in Hong Kong.

Based in Malaysia, you will remotely manage the PCTSR HK office’s day to day operational processes, with a focus on consistency and cost efficiency, as well as ensuring corporate guidelines and policies are met, in addition to building management requirements, and health and safety guidelines. Collaboration with wider Asia operations teams will be key to ensure smooth running of operations.

Key Responsibilities
  • Manage Hong Kong PCTSR office purchasing and supplies process, and relationships with vendors, service providers and building management for all operational areas.
  • Manage and review all service contracts, co‑ordinating payments for the Hong Kong PCTSR office.
  • Carry out general office duties such as typing and clerical work, checking for quality of adjusting reports completed.
  • Collaborate with the Working Capital and credit control teams, to support invoicing, WIP management, debt collection tracking and system updates.
  • Ensure compliance with Charles Taylor procedures and controls.
  • Support general adjuster tasks, including travel arrangements for the PCTSR HK Adjusting team, monitoring case setup process in the system, and assisting adjusters with time recording in CMA system and using the new Expense@Work application.
  • Participate in projects as required and be proactively involved in the development of new processes/systems.
  • Perform other support activities and provide general assistance to adjusters to ensure efficient running of the PCTSR Asia portfolio.
  • Carry out ad hoc duties and tasks that are allocated to you at the discretion of management and that are within your capabilities and within the scope of your post.

Required Skills and Qualifications
  • Fluent in written and spoken English and Cantonese.
  • Proven experience in office management and administrative work, preferably in a remote working arrangement.
  • Experience remotely managing service providers, vendors and associated processes.
  • Proficiency in MS Office and experience using a variety of corporate systems and tools.
  • Excellent attention to detail and problem‑solving abilities.
  • Strong time‑management skills, with experience planning and organizing events, meetings and projects.
  • Team player with excellent interpersonal skills; able to work independently with minimum supervision.
  • Willingness to help others and share knowledge.
