Position Overview

We are seeking a proactive, detail-oriented, and highly motivated Operations Assistant to play a key role in supporting and enhancing our day‑to‑day business operations. This position is ideal for an energetic self‑starter who thrives in a fast‑paced startup environment, takes ownership of tasks, and is eager to contribute to building efficient processes from the ground up. The successful candidate will work closely with cross‑functional teams to ensure operational excellence, improve workflows, and support the company’s growth objectives.

Key Responsibilities
  • Assist with daily operational and administrative tasks to ensure smooth and efficient business operations
  • Handle accurate data entry, reporting, and maintenance of operational documentation
  • Coordinate shipping, receiving, and inventory activities, including tracking orders and resolving discrepancies
  • Communicate effectively with suppliers, couriers, and internal teams to support timely execution of operational activities
  • Monitor workflows to ensure tasks are completed on schedule and operational priorities are met
  • Support process improvement initiatives by identifying inefficiencies and proposing practical solutions
  • Assist in maintaining and updating internal systems, tools, and databases used for operations
  • Prepare regular operational summaries and ad‑hoc reports for management review
  • Support cross‑functional teams with coordination, scheduling, and follow‑ups as required
Qualifications
  • Strong proficiency in Microsoft Excel and Google Sheets, with the ability to manage data, track inventory, and generate basic reports
  • Familiarity with shipping and logistics platforms such as DHL, FedEx, or similar courier systems
  • Physically fit and willing to assist with handling, moving, and organizing packages when operationally required
  • Highly detail‑oriented with strong numerical accuracy and the ability to identify discrepancies
  • Prior experience with inventory management, stock control, or resolving stock‑related issues is an advantage
  • Adaptable, proactive, and eager to learn new tools, systems, and operational processes in a fast‑growing startup environment
  • Strong communication skills in English are required; proficiency in Malay is an added advantage
