Job Description

The Administrative Assistant is responsible for handling daily office administration tasks, ensuring a neat and efficient working environment, and providing administrative support to various departments to enhance overall operational efficiency.

Daily Administrative Operations
  • Manage front-desk duties, including visitor reception, call handling, and mail/parcel distribution.
  • Maintain office environment, coordinate meeting room usage, and manage office supplies and equipment.
  • Coordinate maintenance and repair of office equipment (printers, copiers, etc.).
Documentation & Records Management
  • Draft, organize, and file administrative documents, internal memos, contracts, and relevant materials.
  • Maintain accurate and secure electronic and physical filing systems.
Meeting & Event Support
  • Arrange meetings, including booking rooms, preparing materials, and taking minutes.
  • Assist with organizing company events, such as employee training, team-building activities, and annual meetings.
Procurement & Expense Handling
  • Manage purchasing and inventory of office supplies and administrative materials.
  • Handle administrative expense reimbursement and payment requests; assist the finance department with cost control.
HR Administrative Support (for applicable roles)
  • Assist with onboarding procedures, including collecting employee documents and preparing workstations.
  • Support attendance management and update employee information and HR records.
Education and Experience
  • Majors in Administration, Human Resources, Business Management, or related fields are preferred.
  • Skills & Competencies and strong communication and coordination skills with a customer-service mindset.
  • Proficiency in office software (Word & Excel).
  • Attention to detail, strong organizational skills, and ability to work under pressure.
  • Good writing and documentation skills.
  • Prior experience in administration, HR, or office support is preferred.
