Management Trainee – Research Management Department

Job Type: (6–12 months)

Position Overview

The Management Trainee (MT) will support the Research Management Department (RMD) in its daily operations while gaining hands‑on experience in research administration, digital content development, and basic IT support for research‑related systems. Under direct supervision, the MT will assist in research documentation, grant coordination, communication, data management, and digital initiatives, including the development of research dashboards and newsletters.

This role offers valuable exposure to end‑to‑end research management processes within a university environment.

Primary Responsibilities
1. Administrative Support
  • Assist in organizing RMD documentation (MoUs, grant files, ethics applications) and maintaining proper filing systems.
  • Maintain and update research databases (e.g., project trackers, publication logs).
  • Prepare meeting agendas, minutes, and follow‑up reminders for RMD activities.
  • Track grant submission deadlines and send reminders to faculty members.
  • Draft routine emails to faculty members, funding agencies, and potential collaborators.
  • Coordinate internal announcements such as calls for proposals, workshops, and training sessions.
4. Event & Workshop Support
  • Assist in organizing RMD workshops and seminars (e.g., room bookings, preparation of materials, refreshments).
  • Manage RSVP tracking and prepare attendee lists and certificates.
5. Ethics & Compliance Tasks
  • Gather required documents for IRB submissions (e.g., consent forms, research protocols).
  • Monitor the status of ethics reviews and provide timely updates to researchers.
  • Archive approval letters and track ethics approval expiration dates.
6. Reporting & Data Entry
  • Input research metrics into RMD dashboards (e.g., number of funded projects, publications).
  • Assist with basic data analysis (e.g., Excel pivot tables, summary charts).
  • Prepare simple monthly reports for departmental review.
Qualifications & Requirements
  • Bachelor’s degree in any discipline; candidates from research‑related fields (sciences, social sciences, management) are preferred.
  • Fresh graduates (0–1 year of experience) or Bachelor’s degree students are welcome to apply.
  • Strong organizational skills with high attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in English.
