Job summary

Valmatic Engineering – Kota Kemuning, Selangor

Monitor shipment schedules and coordinate with forwarders to ensure timely delivery.

Review packing lists and identify shipment types (ZP, Tax Exemption, Normal Stock).

Coordinate re-packing, re-marking and relabeling with the warehouse when needed.

Ensure proper goods labeling and verification against purchase orders.

Review inspection reports and ensure quality compliance.

Investigate stock discrepancies and prepare internal reports.

Key Responsibilities
Inbound Operations
  • Monitor shipment schedules and coordinate with forwarders to ensure timely delivery.
  • Review packing lists and identify shipment types (ZP, Tax Exemption, Normal Stock).
  • Coordinate re-packing, re-marking and relabeling with the warehouse when needed.
  • Ensure proper goods labeling and verification against purchase orders.
  • Review inspection reports and ensure quality compliance.
  • Investigate stock discrepancies and prepare internal reports.
Warehouse Operations & Inventory Management
  • Oversee all incoming and outgoing warehouse activities.
  • Maintain inventory accuracy through stock takes, cycle counts and audit.
  • Ensure real-time stock updates in the inventory management system.
  • Monitor and manage stock levels to meet minimum stock requirements.
  • Oversee storage allocation, warehouse organization and space optimization.
  • Manage defective or rejected goods, identify root causes and determine appropriate actions (replacement, warranty claim, supplier communication).
  • Maintain inventory for exempted goods.
Process Improvement & Warehouse Layout Optimization
  • Improve warehouse processes to enhance productivity, speed and accuracy.
  • Implement best practices to streamline inventory movement and workflow.
  • Optimize racking systems, warehouse layout and space utilization.
  • Identify root causes of incorrect deliveries and implement quality control measures to reduce discrepancies.
  • Ensure compliance with ISO standards and safety regulations.
  • Analyze inventory trends and implement continuous improvement strategies.
Stock Forecast & Planning
  • Review stock balance and consumption trends periodically.
  • Prepare stock forecast reports, low-stock alerts and indent planning.
Outbound Operations
  • Oversee issuance and accuracy of Delivery Orders and shipping documents.
  • Ensure timely delivery and proper handling of goods during dispatch.
  • Resolve outbound or delivery-related issues with logistics and warehouse teams.
Purchasing Coordination
  • Review and approve local and overseas purchase orders.
  • Create stock codes for newly purchased items.
  • Ensure quotation comparison, purchasing documentation and supplier records are complete.
  • Handle supplier registration, monitor supplier performance, and review purchase invoices.
  • Track validity and renewal of supplier agreements and service contracts.
Service Operations Support
  • Prepare Bills of Materials (BOM) for assembly or service jobs.
  • Monitor job schedules to ensure timely completion.
  • Review completed service reports and ensure prompt invoicing.
Leadership & Coordination
  • Lead, train, and supervise warehouse staff to meet operational goals.
  • Ensure adherence to SOPs, workflow requirements and safety practices.
  • Coordinate closely with procurement, sales and operations teams for efficient inventory management and order fulfillment.
  • Foster teamwork, accountability and continuous improvement within the team.
Requirements
  • Diploma/Degree in Logistics, Supply Chain, Business or related field.
  • Minimum 5 years’ experience in logistics, warehouse, or inventory management (experience in industrial/mechanical products preferred).
  • Strong knowledge of import/export procedures, shipment coordination, and customs regulations.
  • Experience in warehouse setup, process improvement and stock accuracy control.
  • Familiarity with ISO standards and safety practices.
  • Good leadership, communication, and problem-solving skills.
  • Proficient in MS Office and inventory/ERP systems.
