Job summary

A leading logistics firm in Johor Bahru seeks a Logistics Coordinator to manage 3PL relationships and ensure inventory accuracy. The ideal candidate should have at least 3 years of experience in logistics, strong communication skills in English and preferably Mandarin, and the ability to work independently under pressure. This role requires frequent travel to Singapore for onsite stocktake tasks.

Qualifications

  • At least 3 years of relevant work experience.
  • FMCG/travel retail/transport and logistics business experience preferred.
  • Must be able to work under pressure and meet deadlines.

Job description
Role Overview

This role supports the Company's Logistics and Inventory Department and directly reports to the Logistics and Procurement Assistant Manager.

Responsibilities & Duties
  • Manages the relationship with the 3PL in charge of warehousing
  • Coordinates and communicates business requirements (volumes, SLAs) and standards to 3PL, and ensures their successful execution
  • Oversees 3PL operational performance (on-time operations, reliability, adaptability). Maintains and distributes performance KPIs
  • Conducts monthly meetings with 3PL to review above points and others (e.g. safety matters)
  • Identifies any trends that may affect 3PL performance and determines actions to be taken
  • Oversees costs, checks billing, initiates and implements a continuous improvement process with 3PL
  • Liaises with internal stakeholders to plan inbound and outbound operations:
    • Communicates business projected volumes related to warehouse operations in preparation to business needs and events
    • Planning team and Procurement team to plan inbound operations
    • Liaises with Procurement, Planning, Retail OPs teams to plan inbound and outbound operations priorities
    • Liaises with Procurement team on inventory integrity issues driven from supplier / brand
    • To build schedule of deliveries to stores, balancing service to stores and efficient warehouse operations
    • Liaises with Ecommerce team to build event and campaign fulfilment and recovery plan
  • Liaises with brands and/or other external stakeholders to facilitate warehousing processes (product information, batch coding / expiry dates management, labelling)
  • Manages claims and quality issues both with supplier and with stores
  • Manage and ensure accuracy of inventory at 3PL
  • Conducts monthly meetings with 3PL/transport providers to review performance service levels, costs and KPIs and continuous improvement projects
  • Ensures inventory accuracy > 99%
  • Manages stock reconciliation between internal WMS and the 3PL WMS
  • Monitors correct execution of interfaces
  • Monitors specific flows impacting distribution centre stocks and stores stocks (stock transfers, returns to warehouse from stores, adjustments disposals)

Manages and perform periodic/yearly full stock takes across 3PL

  • Monthly reporting and analysis of store stock movements
  • Ensure all audit requirements related to stock integrity is maintained and captured

Commit to continuous improvement relating to logistics

  • Key user in creating and improving on automating processes related to logistics processes and reporting
  • Contingency planning for logistics related tasks
  • Participate and represent the logistics team in related projects
Job Requirements
  • At least 3 years of relevant work experience
  • Good communication skill in English and preferably Mandarin to liaise with Mandarin speaking counterparts
  • FMCG / travel retail / transport and logistics business experience would be preferred
  • Ability to work in ambiguity and in a fast pace environment
  • Ability to work independently
  • Proficient in using Microsoft Excel
  • Have a sense of urgency and ownership
  • Able to prioritise numerous tasks and work under pressure and within deadlines
  • Candidate must be based in Johor Bahru (JB) to ensure easy commute to Singapore. Expected to travel to Singapore 3/4 times a month for onsite stocktake and other operational requirements.
