A legal services provider in Malaysia is seeking a Legal Support Assistant to aid the Head of Legal with comprehensive legal, operational, and administrative support. Responsibilities include managing legal documents, assisting with compliance frameworks, and providing general legal operations support. The ideal candidate should hold an LLB or equivalent, possess excellent drafting and organizational skills, and be comfortable in a dynamic legal environment. This role is suitable for candidates with 0-5 years of relevant experience.
To provide comprehensive legal, operational, and administrative support to the Head of Legal in managing the Legal Department’s day-to-day functions. The role supports contract management, legal documentation, workflow coordination, and compliance activities across the Group.
1. Legal, Documentation & Contract Support (in support of Head of Legal)
· Support the Head of Legal in drafting, reviewing, updating, and maintaining legal documents and materials, including but not limited to contracts, agreements, policies, SOPs, governance documents, compliance records, legal correspondence, and ad-hoc legal documentation, whether template-based or otherwise.
· Assist in preliminary issue-spotting, risk identification, and preparation of legal documentation, summaries, and supporting materials for the Head of Legal’s review and decision-making.
· Support negotiations, standardization initiatives, documentation clean‑up, legacy document rationalization, and follow‑ups relating to legal and compliance matters as directed by the Head of Legal.
2. Legal Administration, Documentation & Workflow Support
· Support the Head of Legal in maintaining a centralized legal repository, ensuring proper filing, naming conventions, version control, and document integrity.
· Track legal requests, contract status, approvals, execution, renewals, and expiry dates, and provide timely updates to the Head of Legal.
· Assist in monitoring turnaround times and coordinating follow‑ups with internal stakeholders.
3. Compliance, Governance & Risk Support
· Support the Head of Legal in implementing and maintaining compliance frameworks (including MACC s.17A controls and PDPA‑related requirements).
· Assist in maintaining legal trackers, risk registers, compliance logs, and supporting documentation.
· Support the preparation and maintenance of legal SOPs, policies, and internal governance documents.
4. Coordination, Legal Operations & General Support
· Support the Head of Legal in liaising with internal departments and external solicitors on routine legal matters, documentation collation, and follow‑ups.
· Assist in tracking external counsel timelines, documentation, and legal spend for reporting purposes.
· Provide general legal operations and administrative support to the Head of Legal, including ad‑hoc tasks, project‑based initiatives, system roll‑outs, audits, reviews, and any other matters necessary for the effective functioning of the Legal Department as reasonably required.
5. Any other related job tasks assigned by Head of Legal.
· LLB or equivalent qualification preferred.
· 0–5 years’ experience in legal practice, in‑house legal support, or legal administration.
· Good drafting, organizational, and document‑management skills.
· High level of discretion, attention to detail, and professionalism.
· Comfortable working in a lean, evolving legal function and providing direct support to senior management.
· Maintains a high standard of confidentiality, integrity, and professionalism at all times.
· Understands that effectiveness comes from being proactive, seeing tasks through to completion, and ensuring timely follow‑up, while working in alignment with the Head of Legal.
· Naturally organized and attentive to detail, with an appreciation for systems, SOPs, workflows, and version control.
· Able to distinguish between routine matters and issues that require escalation to the Head of Legal.
· Demonstrates a willingness to learn and develop across multiple areas of law, legal operations, and compliance.
· Comfortable with evolving responsibilities and supporting ad‑hoc or project‑based legal initiatives. Understands that in a growing Legal Department, priorities may shift and flexibility is essential.
