A real estate management company in Malaysia is seeking a Leasing Coordinator to assist with tenant sourcing, leasing administration, and event planning. The ideal candidate will manage tenant interactions, coordinate site visits, and maintain accurate leasing records. This role requires strong organizational skills and the ability to collaborate effectively with various teams. Responsibilities include preparing tenancy documents, monitoring tenant compliance, and generating reports to track leasing and event performance.
Assist in sourcing, screening, and evaluating potential tenants.
Coordinate site visits, tenant meetings, and discussions on leasing requirements.
Support the preparation and issuance of tenancy documents including Letters of Offer, Tenancy Agreements, and renewals.
Maintain and update tenant information, rental records, and lease status reports.
Follow up with tenants on documentation, payments, deposits, and compliance matters.
Track lease expiry, renewals, and terminations and notify relevant parties.
Ensure proper filing and documentation for all leasing records.
Coordinate with legal, finance, and property management teams on lease-related matters.
Monitor tenant fit-out progress, compliance with guidelines, and handover/handover-back procedures.
Assist in developing and executing event concepts, campaigns, and promotional activities.
Work with marketing teams on event promotion, social media posting, and digital content needs.
Ensure events run smoothly and meet objectives of traffic generation, branding, or tenant support.
Prepare event briefing notes, schedules, and post-event reports.
Build positive working relationships with tenants and serve as a point of contact for daily operational matters.
Coordinate tenant participation in mall/venue events, promotional activities, and marketing campaigns.
Attend to tenant feedback and elevate issues to management when required.
Prepare leasing reports, event performance reports, and occupancy summaries.
Maintain updated information on available lots, rental rates, event schedules, and leasing progress.
Track event KPIs such as visitor engagement, leads, and sales results (if applicable).
