Job summary

A leading HR firm in Kuala Lumpur is looking for an HR Generalist to manage employee records and facilitate onboarding and offboarding processes. The role includes conducting training sessions via Microsoft Teams and managing payroll for retail stores. Candidates should possess at least a Bachelor's degree in Human Resource Management, have a minimum of 2 years of HR experience, and proficiency in Microsoft Excel and Word. A pleasant personality and good command of English and Bahasa Malaysia are essential for this position.

Job description
  • Responsible for preparing letters for various employment related matters. Ensure employee personal files & records are properly filed, maintained and updated.
  • Update & maintain the personnel data in system.
  • Keep track of employee’s employment status (i.e., confirmation, resignation, extension of probation etc.)
  • Initiate the confirmation procedure, including request performance review form from District Manager, preparing of letter, activation of Healthmetrics & staff purchase card etc.
  • Responsible for employee onboarding and offboarding
  • Conduct induction & briefing sessions to retail staff via Microsoft Teams
  • Responsible for leave management including checking on attendance & overtime (OT) and responding to all queries on leave matters
  • Monthly payroll processing for retail stores.
  • Assist in recruitment process including preparing job description and posting job ads, scheduling interviews and conducting pre-employment checks.
  • Assist in HRDC grant application and liaise with HRDC on application status. Ensure training records such as attendance, training outline etc are properly documented and well maintained.
  • Support in employee engagement activities and HR programs, including career fair, festive celebration etc.
  • Conduct monthly retail walk and assessments to gather feedback and identify areas for improvement.
  • Any other duties as assigned from time to time.
Job Requirements
  • Candidates must possess at least a Bachelor’s degree, preferably in Human Resource Management.
  • At least 2 years of experience in HR Generalist.
  • Knowledge in HR2000 & FlexHR payroll system will be an additional advantage.
  • Good in Microsoft Excel (eg Pivot Table, Vlookup etc) and Microsoft Word
  • Demonstrate a positive, can-do attitude and able to adapt to the changes in priorities and demands
  • Ability to thrive in a fast-paced environment
  • Pleasant personality
  • Good command of spoken and written English and Bahasa Malaysia
  • Able to meet deadlines & prioritize urgent tasks
