Job summary

A local non-profit organization in Malaysia is seeking a Human Resource Assistant. The ideal candidate will assist in managing various HR functions including verifying leave applications, updating medical claims, and preparing reports. Candidates should have at least 2 years of experience in administrative and human resource roles, and hold relevant educational qualifications. The ability to work on Saturdays and maintain confidentiality is essential.

Qualifications

  • Willing to work every Saturday (half day).

Job description

Assist in overall full spectrum of human resource matters as per policy and timelines.

Verify and update employees’ leave application forms against attendance cards.

Verify and update record of employees’ medical claims. Ensure that the medical claims are in accordance with the Terms & Conditions of Employment.

Liaise with Insurance Company of any new recruitments and employee resignations.

Issuance and updating of employee’s attendance records.

Prepare human resource monthly report by assembling and analyzing data.

Maintains employee information by entering and updating employment and status-change data.

Maintains and ensures all human resource information are kept confidential.

Maintains quality service by following organization standards.

Ensure proper documentation of all staff training records.

Perform pre-screening of all incoming resumes, shortlist the potential resumes for Administration Manager’s review and arrange interview.

Provides full administration support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies.

Translate documents in required language.

Attends meeting with President/Vice President/Administration Manager and prepare meeting minutes in required language.

Liaise and prepare documentations as required by relevant authorities and vendors.

Perform any other duties as assigned by Vice President/Administration Manager.

Minimum Qualification and Experience

Willing to work on every Saturday (half day).

Preferably Sijil Pelajaran Malaysia (S.P.M.)/Diploma in Human Resource Management or Business Administration.

Preferably 2 years experience in administrative and human resource work.

Must be dependable, able to follow instructions and respond to Management directions.

Must be able to prioritize and plan work activities efficiently.
