Job summary

A leading company in Malaysia is looking for an HR Assistant to facilitate day-to-day HR functions and support various administrative tasks. Responsibilities include managing onboarding processes, assisting with payroll administration, handling documentation for foreign workers, and addressing employee grievances. The HR Assistant will also oversee office maintenance and monitor attendance records. Responsibilities

  • Assisting with day to day operations of the HR functions and duties.
  • Manage company vehicle services, keep track of road tax and insurance renewal.
  • Manage third party medical clinic matters for new hires and resigning employees.
  • Oversee office maintenance related works.
  • Support in preparing PR and other administrative tasks with suppliers.
  • Monitor and purchase necessary supplies like stationery and safety shoes.
  • Handle documentation for foreign workers regarding accommodation and permits.
  • Check and follow up on foreign worker’s hostel management and discipline.
  • Resolve employee grievances and administer disciplinary actions.
  • Assist in foreign worker management and application processes.
  • Coordinate medical check-ups of new employees.
  • Monitor weekly/monthly staff attendance.
  • Handle onboarding of new hires and conduct orientation.
  • Assist in payroll administration and maintain employee database.
  • Monitor employee attendance records, claims, and leaves.
  • Assist in monitoring cleaner performance.
Job description
Responsibilities
  • Assisting with day to day operations of the HR functions and duties.

  • Manage third party medical (HealthMetrics) clinic of new hire and resign employee.
  • Oversee and manage office maintenance related works. (Company management)
  • Support in preparing PR and other administrative tasks with regards to suppliers
  • To monitor and purchase Stationery Counter, Safety Shoes & Uniform if necessary
  • Handle all documentation pertaining to foreign workers matters such as accommodation, transportation arrangement, permit renewals, FWCMS, and MYEG.
  • To check and follow up on foreign worker’s hostel management, cleanliness and discipline, rental arrangement & renewal.
  • Resolving employee grievance and administering disciplinary actions as per the Company's policies.
  • Assist in foreign worker management including handling applications, renewal, and termination of work pass, employment pass, check-out-memo, and FOMEMA for foreign workers.
  • Coordination on the medical check-up of new employees
  • Monitor and check on weekly/monthly staff attendance.
  • Handle on-boarding of new hires, documentation, conduct new hire HR Orientation, and coordination of the new hire orientation with facilitators
  • To assist in payroll administration, to maintain and update employee database, personal file with company guidelines and procedure.
  • To assist in update and monitor of the employee attendance records, claims, overtime, medical and leaves records in HR system.
  • Assist on monitoring performance of cleaner from time to time.
