Qualifications
- Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
- Minimum 1–3 years of working experience in HR functions. Fresh graduates with strong internship experience are also encouraged to apply.
- Good knowledge of HR processes including recruitment, onboarding, employee records management, and leave/payroll coordination.
- Familiarity with Malaysian Employment Act and labor regulations.
- Good interpersonal and communication skills – able to interact with staff at all levels.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Detail‑oriented, organized, and able to handle confidential information with integrity.
- Able to work independently and within a team environment.
- Experience in education industry is an added advantage.
Responsibilities
HR Operations
- Manage day‑to‑day HR operational activities, ensuring efficiency, compliance, and alignment with the university’s policies and procedures.
- Handle employee records, HR documentation, and ensure smooth HR service delivery to academic and non‑academic staff.
Scholarship Administration
- Manage the scholarship process including eligibility checks, documentation, disbursement, and reporting.
- Liaise with internal departments and external bodies to ensure timely processing of scholarship applications and renewals.
TMM Reporting
- Prepare, consolidate, and submit reports accurately within deadlines.
- Provide analysis and recommendations based on report data.
Payroll Reporting
- Prepare accurate payroll reports.
- Ensure payroll data integrity, handle queries, and support payroll audits when required.
Issuance of Letters of Appointment (LOA)
- Draft and issue LOAs for various academic and administrative roles.
Contract Renewal (Academic Staff)
- Coordinate contract renewal processes for academic staff.
- Ensure timely reminders, documentation, and approvals are completed in accordance with university policy.
Performance Appraisal Management
- Administer the annual performance appraisal exercise for academic and non‑academic staff.
- Provide guidance to HODs/Deans on appraisal processes and ensure timely completion.
- Support in compiling appraisal outcomes for management review and career development planning.
