Job summary

A leading engineering firm in Subang Jaya seeks an experienced HR and Administration Officer to manage employee visas, coordinate interviews, and oversee office administration. The ideal candidate will have at least 4 years of relevant experience and strong communication skills. Proficiency in Microsoft Office is required, along with the ability to multitask effectively in a dynamic environment.

Qualifications

  • Minimum 4 years' relevant working experience required.
  • Good in both written and spoken English and B.M.
  • Able to work with all levels of staff.

Job description
Responsibilities
  • Handle all matters pertaining to employees’ business visa, work permit/employment pass and APEC card.
  • Prepare administrative matters for new staff such as setting up work-station, parking and access to office.
  • Perform the necessary procedures for resigned staff such as ensuring all assets of company are returned and IT networking is disabled.
  • Manage employees’ leave.
  • Coordinate interview arrangement for hiring managers.
  • Manage filing of documents in a proper and traceable manner.
  • Assist in organizing HR functions and events.
  • Perform other HR functions or ad hoc tasks.
Administration
  • Manage all office administrative functions which includes upkeeping of office and office equipment, sourcing for office equipment, furniture and fittings, handling stationeries inventory, replenishing pantry items and liaising with relevant parties to disinfect the office.
  • Handle courier and dispatch.
  • Check invoices and all administrative billings.
  • Manage filing of documents in a proper and traceable manner.
  • Handle all domestic/international travelling arrangement for employees and guests.
  • Perform ad hoc functions.
Special Tasks
  • Ensure timely submission of reports from Visiting Agents/Engineers.
  • Send all necessary reports pertaining to Palm Oil Plantation and Mills to the Management via e-mail.
Requirements
  • A degree in human resource management or any discipline.
  • Minimum 4 years' relevant working experience.
  • Proficient in Microsoft Office (Excel, Word and PowerPoint).
  • Possess good communication and inter-personal skills.
  • Able to work with all levels of staff.
  • Candidate must have good working attitude.
  • Candidate must be versatile in multi-tasking and meticulous in a fast working pace environment.
  • Good in both written and spoken English and B.M.
