JOB OVERVIEW
The HR, People & Admin Executive supports operational HR delivery at Pickle Social Club and its respective associated brand by ensuring accurate execution of HR processes, administrative coordination, people support, and compliance tracking at the ground level.
The Executive provides reliable day-to-day support to employees, maintains consistent HR administration standards and ensures PSC and its associated brand operations run smoothly. A collaborative approach across departments is crucial for efficiency of this role.
This role is execution-focused, with expectations tied to process accuracy, timeliness, documentation quality and service responsiveness.
JOB ROLES & RESPONSIBILITIES
- Human Resource Operations & Administration - Maintain accurate employee records, files, contracts and documentation, ensuring timely updates.
- • Ensure records compliance and traceability for required retention period.
- • Execute payroll inputs, attendance updates, leave reconciliations and benefits administration with error-free data submission to the HR Manager.
- • Ensure organisation(s) wide adherence to HR policies and SOPs; track completion and escalate deviations to the Manager.
- • Manage statutory submissions and documentation (EPF, SOCSO, EIS, HRD) with periodical submissions.
- • Track and monitor probation reviews, confirmations and performance documentation within timeline compliance.
- • Provide first-line HR support for employees, ensuring response within 48 hours for routine queries.
- Recruitment & Onboarding Support - Execute recruitment logistics including job postings, candidate screening, interview coordination and reference checks.
- • Meet SLA timelines for candidate correspondence, scheduling and document preparation.
- • Prepare offer letters, employment contracts and onboarding packs accurately and on time.
- • Conduct organisational level onboarding briefings covering systems, policies and venue expectations, ensuring completion of all onboarding checklists within Week 1.
- Foreign Worker & Accommodation Administration - Manage permit applications, renewals, cancellations and related immigration documentation with zero expiry lapses.
- • Maintain accurate trackers for permit validity, passport records and housing assignments.
- • Act as liaison with landlords and coordinate staff accommodations, logistics, maintenance requests, general upkeeps and occupancy records to maintain strict compliance with organisational standards.
- • Liaise with authorities, agents and vendors following SOPs and maintaining complete documentation.
- Employee Relations & On-ground Support - Serve as organisational point of contact for day‑to‑day employee concerns and escalate issues appropriately to the HR Manager.
- • Support execution of engagement activities, appreciation events and organisational internal initiatives—ensuring all logistical tasks are completed within stated timelines.
- • Assist in documentation for disciplinary actions, investigations, warnings or counselling sessions, ensuring complete and accurate case files.
- • Maintain transparent communication channels with employees while upholding confidentiality and professionalism.
- Administration & Workplace Compliance Support - Handle administrative processes including inventory of HR forms, uniforms, employee IDs, locker assignments, and access control updates.
- • Support safety compliance by maintaining updated staff lists for emergency response, training attendance and safety briefings.
- • Coordinate travel bookings, claims verification and petty cash handling for staffing and foreign worker needs.
- • Prepare weekly administrative reports with accuracy, consolidating attendance, incidents, and on-ground HR observations.

JOB REQUIREMENTS
- Bachelor’s Degree in HR, Business, Administration or equivalent experience
- 1–3 years hands‑on HR or administrative experience; experience in foreign worker processes is an advantage
- Excellent verbal and written English communication skills
- Good understanding of Malaysian labour and immigration basics
- Strong organisational discipline, attention to detail and ability to manage multiple tasks independently
- High integrity, professionalism and confidentiality
- Strong interpersonal and communication skills
- Comfortable working in a dynamic, on-ground operational environment
