Job summary

A local HR firm in Johor is seeking an experienced HR officer to handle employee attendance, foreign worker administration, and liaising with government authorities. The ideal candidate should have at least a diploma and 3 years of experience in HR-related tasks, along with strong Microsoft Office skills. Good interpersonal and communication skills are essential, and knowledge of the Employment Act Malaysia is a plus. Fresh graduates are welcome to apply for junior roles, and fluency in Mandarin will be advantageous.

Responsibilities

  • Manage daily attendance and leave applications.
  • Handle foreign workers administration.

  • Monitor performance of external service providers.
  • Conduct new employee onboarding.
  • Prepare various HR letters and reports.
  • Involve in employee performance management.

Job description

Responsible and in charge of checking and updating daily attendance of employees and key in employee leave applications, checking medical claims, updating employee details in systems and filing of newly joined employees.

In charge of foreign workers administration which include new foreign worker application, renewal of foreign worker’s work permit, purchase of foreign worker’s insurance, hostel management etc.

Liaise with government authorities such as Immigration, KDN, Labour Office etc. as and when required.

Handle and manage HRDF training grant and training claim applications. Assist the Head of Department in preparing for in-house training, i.e. refreshments, setting up training venue etc.

Closely monitor the service performance and quality of external service providers, i.e. cleaners and security guards.

In charge of a new employee on-board orientation and preparing necessary docs. Handle employee’s departure process by preparing related docs.

Prepare letters such as an Appointment Letter, Confirmation Letter, Increment Letter etc. as and when required.

Prepare weekly administrative reports and update reports as and when needed.

Involvement in employee performance management by preparing employees performance review forms and furnishing related information.

Any other responsibility assigned by the superior from time to time.

Job Requirements
  • Candidate must possess at least a Professional Certificate, Diploma/Advanced/Higher/Graduate Diploma, Bachelor's Degree/Post Graduate Diploma/Professional Degree in any field.
  • At least 3 Year(s) of working experience in the related field is required for this position.
  • Required Skill(s): Microsoft Office.
  • Good interpersonal and communication skills.
  • Understanding & knowledge in Employment Act Malaysia.
  • Must be willing to undergo On Job Training.
  • Candidate must be willing to work in Muar, Johor.
  • Mandarin speaker is an advantage.
