Job summary

A leading HR services provider located in Kulai, Johor, is seeking a dedicated HR Administrative Assistant to support recruitment, onboarding, and HR documentation. Responsibilities include posting job ads, updating employee records, monitoring attendance, and assisting with payroll data. Ideal candidates should possess a diploma/degree in HR or Business Administration, with good communication skills, attention to detail, and proficiency in Microsoft Office. Proficiency in Chinese is essential. This role promotes a collaborative HR environment.

Recruitment & Onboarding

Assist in posting job ads and arranging interviews. Prepare offer letters, employment contracts, and onboarding documents. Coordinate new employee orientation and ensure smooth onboarding.

HR Documentation & Records

Maintain and update employee personal files, HR databases, and HR systems. Handle document preparation such as confirmation letters, warning letters, memos, and HR notices. Ensure all HR documentation complies with company policy.

Attendance & Leave Management

Monitor daily attendance and leave records. Assist in resolving attendance discrepancies. Prepare attendance summaries for payroll processing.

Employee Relations Support

Assist in handling employee inquiries regarding HR policies, benefits, and procedures. Support HR in organizing staff activities and engagement programs. Maintain confidentiality of employee matters.

Payroll Administrative Support

Provide necessary data for payroll processing (attendance, claims, allowances). Verify medical claims, OT forms, and other payroll-relevant documents.

Office Administration

Handle general administrative tasks such as office supplies, filing, and correspondence. Liaise with vendors and service providers when required. Support office operations to ensure a smooth working environment.

Other Tasks

Assist HR Manager in any assigned HR or administrative initiatives. Prepare monthly reports as required.

Requirements
  • Diploma/Degree in HR, Business Administration, or related field.
  • 1–2 years of HR/admin experience preferred; fresh graduates are welcome.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
