About the role

Reporting to Halal Head, Malaysia

A Production Admin typically oversees the maintenance of Halal Documentation system within an organization. A Production Admin plays a crucial role in ensuring that the materials used within a company comply with halal standards and updating the registration of new and existing material with the relevant authority. Most important, ability to meticulously monitor and ensure compliance with halal standards as per Recognised halal body mainly for Malaysia.

Others than that, it’s also function as document controller, assist halal application process, training management, HAS implementation, audit management by internal and external stakeholder. This position requires to work closely with cross function team such as warehouse, quality, transporter, customer service, supply chain and reporting to Halal Head.

Key responsibilities
  • Document Control: Maintain Halal related documentation for raw materials, ensure proper document control and archiving, and monitor document validity and ensure timely review and updated.
  • Halal Record Management: Maintain Halal records including supplier Halal certificates, ingredient lists, product specifications, training records, and audit records, ensure records are complete, accurate, traceable, and readily available for audit purposes, and manage both physical and electronic Halal filing systems.
  • Halal Certification & Audit Support: Prepare and compile documents for Halal certification, renewal, and surveillance audits, support internal and external Halal audits by providing requested documents and records, and coordinate with relevant departments to obtain required Halal documentation.
  • Compliance Monitoring: Monitor the status of Halal documents and certificates (validity, expiry, completeness), and report missing, expired, or non-compliant documents to the Halal Executive or Halal Committee.
  • Administrative Support: Support Halal training documentation and attendance records, and prepare simple document registers, tracking logs, and reports as required.
  • Perform any task being appointed by management that link with business requirement time to time.
  • Leadership: Strong leadership skills to manage teams and ensure compliance.
  • Organizational Skills: Ability to manage multiple tasks and ensure all processes are in line with halal standards.
  • Communication: Excellent communication skills for training and liaising with regulatory bodies.
  • Problem‑Solving: Ability to address and resolve issues related to halal compliance.
  • Knowledge of Islamic Law: In-depth understanding of halal requirements and Islamic dietary laws.

  • Excellent in data analysis, people management and capability to provide instruction and report for any abnormality to superior immediately after finding.
  • Strong employee relations, interpersonal and verbal/written communication skills.
  • Demonstrated computer proficiency skills Word, Excel, and Microsoft Office.
  • Demonstrated ability to function successfully in a fast paced, changing work environment.
  • Skill in managing and maintaining documents, organizing, and filing records, and providing administrative support to ensure smooth operations.
