A leading energy company is seeking a Finance & Administration Executive for its site office in Kuala Selangor, Malaysia. This role entails budget preparation, financial reporting, procurement coordination, and compliance with company policies. Budget Preparation & Financial Planning - Work closely with EPH and Project team to support the preparation, consolidation, and monitoring of the project budget, including tracking approved budgets, forecasts, and revisions to ensure effective financial planning and control at site level.
Budget Control & Cost Monitoring - Assist in monitoring project costs against approved budgets, identifying variances, highlighting potential cost overruns, and providing timely financial information to support management decision-making.
Support the implementation of cost control measures and continuous monitoring to ensure prudent financial management of the solar project.
Financial Reporting & Statements Preparation - Support the preparation and submission of periodic financial reports and financial statements, including cost reports, expenditure summaries, and supporting schedules, in coordination with EPH and Finance team.
Ensure financial data and supporting documents are properly compiled, accurate, and submitted in accordance with internal reporting requirements and timelines.
Cost-Saving & Financial Efficiency Initiatives - Assist in identifying potential cost-saving opportunities and efficiency improvements at site level, including expenditure optimisation, process improvements, and better cost visibility.
Support implementation and tracking of approved cost-saving initiatives in collaboration with Project, Procurement, and Finance teams.
Finance Coordination & Compliance - Coordinate closely with EPH, Project Manager, and Finance team to ensure site financial activities comply with company policies, approval matrices, and audit requirements.
Maintain proper documentation and records to support internal reviews, audits, and financial governance requirements.
EPC Contract & Commercial Administration - Support the management of commercial affairs related to EPC contracts, including maintaining contract records, tracking contractual obligations, milestones, and key commercial terms to ensure compliance with contract requirements and company policies.
Assist in monitoring contract variations, claims, and change orders by coordinating documentation, cost impact assessments, and approvals with Project, Commercial, and Finance teams.
Procurement & Subcontractor Management - Provide procurement administration support for project-related goods, services, and subcontracts, including coordination of PR/PO processes, vendor documentation, delivery tracking, and contract file maintenance.
Assist in subcontractor administration by tracking subcontract agreements, scope alignment, performance deliverables, and compliance with contractual and commercial terms.
Payment & Commercial Cost Administration - Support payment management activities by verifying invoices, progress claims, variation claims, and supporting documents from EPC contractors, subcontractors, and suppliers prior to submission for approval and payment processing.
Maintain records of payment schedules, retention sums, and outstanding claims to support effective cash flow monitoring for the solar project.
Change Management & Commercial Coordination - Assist in administering contract change management processes, including logging variations, coordinating internal reviews, tracking approval status, and ensuring proper documentation for audit and commercial reference.
Coordinate with Project Manager, GCOC, Finance, and other stakeholders to ensure procurement and contract-related commercial matters are managed in a timely and transparent manner.
Responsible to implement office administrative for site office related matters.
Assist Project staff on daily administrative, finance and HR matters (including but not limited to document filing and correspondences) and support activities in line with established policies and procedure.
