A leading property services firm in Kuala Lumpur seeks an experienced Building Manager to oversee building operations, manage tenant relationships, and ensure compliance with facilities management standards. The ideal candidate should possess a Diploma or Degree in Property Management or related fields and have over 5 years of experience in building management. Strong interpersonal and customer service skills are required. The role also involves budget preparation and monitoring, as well as contract negotiations with service providers.
Liaise with tenants in regards to the services provided and attend to tenants' request and complaints.
Carry out regular building inspections and take appropriate corrective actions where necessary.
Manage aesthetics aspect of the building and to advise and implement beautification programs on the building when the need arises.
Carry out directives and policies of the Company as to be determined by the Management from time to time.
Oversee the daily operation of Building/Facilities Manger, Cybercenter Manager, Billing & Collections staff , Customer Service staff
Liaise with Project Team and contractors for defect works of building & common areas during Defect Liability Period (DLP).
Liaise with Project Team, tenants' Interior Designers, contractors and relevant authorities for renovation approval and issuance of CCC for completed office renovation for tenants.
Negotion with service provider / contractor on renewals of contracts/ad hoc repair works
Monitor all the service contractors to ensure contract are renew on timely bass as per SOP
Liaise with relevants authorities with regards to the building & facilities permits, approvals and licences
Liaise with Security & Safety Manager and Executive on building security & safety issues when the need arises.
Prepare Budgets (5 Years Business Plan) for Plaza Hap Seng
Ensure subordinates comply with the documented system documentation established for Building/Facilities Management.
Assist in preparing / follow up on Tenants' Satisfaction Surveys.
Conduct yearly performance evaluation of service providers and contractors.
Support & assist CCM Manager in regards to maintenance issue and submission of yearly report to MDEC (for Plaza Hap Seng only).
Comply with the qualifying criteria & performance standards related to Facilities Management (for Plaza Hap Seng only)
Prepare Monthly Building operation report
Check and verify Facilities team monthly building inspection report
Ensuring monitoring of actual expenses against budget.
Monitor and ensure billing & collection performance their work as per SOP and within the timeline given by Finance Department
Monitor and ensure tenant collection is up-todate
Follow up with tenant on outstanding payment and prepare weekly debtors report
Monitor and verify monthly / daily billing & collection report
Cybercenter Management
Monitor and ensure Cybercenter operation is comply with MDEC requirement
Customer Service /Auditorium & Conference Room leasing
Monintor daily operation of Customer Service section.
Monitor the leasing activities of Auditorium & Conferernece room ( ACC) and ensure Facitilties in ACC is in good and operatoinal condiition
Conduct rental survey for ACC
Perform any other duties or tasks which may be assigned from time to time and as stated in systems documentation.
Authority
Verify staff overtime claims.
Check and verify Breakdown, Complaint, Request Attendance Report (BCRAR) and tracking record.
Verifying of Tax Invoices, prior to approval by HOD.
Signing on Purchase Purchase Order, upon approval by HOD.
Verifying of eclaim expenses / eleave, prior to approval by HOD.
Verifying of requisitions (Work/Job, Capex, Outsource Authorization, etc), prior to approval by HOD.
Recommend Stop Work Order for major/catastrophic nonconformance or defects found during operation or services.
Recommend appointment of service providers and contractors.
Authorised to verify ad hoc billings, when required.
Verification of new/replacement of maintenance items, prior to approval by HOD.
Job Requirements:
Possess STPM / Diploma/ Degree in Property Management/ Business Admin / Engineering or related field.
Good interpersonal and customer service skills.
Minimum 5 years working experience in building management or facilities management.
