Executive / Senior Executive, Property Management
The function of the Executive/Senior Executive – Property Management, is to support the management, operations and processes of the property management portfolio entrusted under Glomac Property Services Sdn Bhd / Kelana Property Management Sdn Bhd and any other properties /assets assigned by the management. The Executive/Senior Executive shall assist the Property Management / Investment team to manage the overall financial health of the portfolio, as well as manage and supervise, if so required, the operations and maintenance of the managed properties. The Executive/Senior Executive will take direct responsibility and accountability for supporting the teams in managing the properties and assist in the management and operations of the managed properties.
JOB RESPONSIBILITIES:
- Uphold Glomac’s Strategic Vision and Mission, and ensure the interest of the company at all times.
- Manage and supervise overall portfolio of managed properties and ensure all facilities are in good working order and condition for the comfort of all tenants, potential tenants and visitors.
- To conduct quarterly, or as when required, joint inspection with all parties concerned for all buildings / facilities assigned.
- To manage and ensure all activities are in accordance to the company Standard Operating Procedures (SOP).
- Responsible for the overall building maintenance, contractual services, minor and major repairs, renovation, building defects, consumable items, plumbing system repairs and all related works.
- Preparation of monthly, quarterly and annual reports.
- Preparation of Memo of Approval and compilation of monthly contractual/non-contractual invoices for Senior Manager/management committee approval.
- Prepare and monitor all proposal papers for property management operations (preventive and corrective). To perform Root Cause Analysis for continuous improvement of all maintenance aspects of operations.
- Liaise with authorities and follow up on any matters related, such as approvals, etc.
- Manage and ensure all complaints from clients and tenants are addressed and channeled to the party/parties concerned and resolved within the stipulated time.
- Effectively present information and reports to the management.
- Manage, execute and perform any and all instructions from the management, senior management and Board of Directors from time to time.
REQUIREMENTS:
- Minimum Diploma/Degree in Real Estate Management, Property Management, Facility Operations and Maintenance, or equivalent.
- Registration as Property Manager with the Board of Valuers, Appraisers, Estate Agents and Property Managers (BVAEAPM) is an added advantage.
- Must be able to become or already well versed in the Strata Management Act (2015), Strata Title Act (1985), and any prevailing relevant laws and statutes.
- Strong communication, organizational, managerial and motivational skills.
- Effective written and oral communication skills including ability to:
- Write clear, concise and accurate reports and other appropriate documentations.
- Effectively communicate operational and technical issues.
- Flexible approach to work and able to demonstrate the ability to plan and prioritize workload. Able to prioritize and deal with business-critical issues as well as conflicting demands. Prepared to work flexibly, and if necessary, outside normal working hours or during weekends or holidays as operations requires.
- Computer literate in Microsoft Office products and email-based products.
