A financial services organization is seeking an Executive Secretary to the Group Chief Compliance & Integrity Officer in Kuala Lumpur. The role involves performing secretarial and administrative duties, managing costs against the Divisional Budget, coordinating office activities, and maintaining confidential files. Candidates should possess a degree in Office Management or equivalent and have 3-4 years of relevant administrative experience. Strong communication skills in both Bahasa and English are required, along with proficiency in Microsoft Office applications.
To perform secretarial and administrative assignments for Chief Compliance Officer (CCOM) and to coordinate Compliance Division office activities in support of the on-going operations in Compliance Division. Secretarial assignments include office coordination, scheduling meetings, preparing and maintaining office records, consolidating reports, and monitoring correspondence pertaining to the CCOM area of responsibility.
Principal Accountabilities:
Effective Cost Management - to manage cost against Divisional Budget
PMS Administrator for Compliance Division
Printer and Photocopy Machine's Administrator (To ensure the property is in good condition, well-functioning and ready to be used)
Leave and Attendance Administrator
Responsible in assisting Chief Compliance Officer in Chief’s day to day operations. Organize and schedule calendar for Chief Compliance Officer meeting and appointment.
Receive incoming and outgoing emails and calls from internal and external parties. Record and update important and relevant information and to CCOM
Prepare the Management / BOD Meeting packs and documents for Chief Compliance Officer
Consolidate monthly divisional updates and reports for Management and BOD Meetings.
Prepare Claims and Vot for CCOM and CCOM's Office
Coordinate all travel arrangements (transportation, accommodation, meal and etc) for Chief Compliance Officer
Maintaining all confidential files under Chief Compliance Officer Maintaining all filing under CCO's Office
Arrange monthly meeting and prepare minutes of meeting for Compliance Division. Prepare Minutes of Meeting
Received and register incoming letters/documents (approving/endorsement) to be signed by Chief Compliance Officer as well.
Perform other ad hoc assignments may be assigned by Chief Compliance Officer
Qualification & Requirements:
Education : Degree in Office Management & Technology or Secretarial or equivalent.
Experience : Preferably 3 - 4 years with related experience preferably in administrative matters.
Computer skill: Have good knowledge in basic computer skills (Microsoft Word/Excel/Power Point and etc)
Communication skill: Bahasa and English
Soft skills: Time management, teamwork, work ethic, critical thinking and etc
