Job description
EXECUTIVE - SECRETARIAL & GENERAL ADMIN.

This role will be reporting to the Managing Director and responsible for daily function of supporting various aspects of secretarial, administrative, corporate governance and regulatory compliance functions. It also involves assisting senior team members and contributing to the efficient management of board meetings, regulatory & shareholder communication, and authorities & legal documentations.

  1. Secretarial and administrative functions and act as liaison for the Managing Director office on handling internal and external inquiries.
  2. Liaison and manage compliance with regulatory bodies, government authorities/agencies relating to licensing, building taxation, shareholding, etc.
  3. Corporate guidelines management & governance support.
  4. Comply with relevant law and regulations and keep updated on the changes in the Company Act 2016 & guidelines of Companies Commission of Malaysia.
  5. Maintain accurate and up-to-date corporate records, including registers of directors and shareholders.
  6. Collaborate with internal departments and external parties, if required to ensure of compliance with company policies, process and documents control protocol.
  7. Manager and organize board meeting including board materials and relevant documents in advance of board meeting.
  8. Liaison and coordinate follow up actions on board decisions and resolutions.
  9. Implement administrative policies and procedures and document control protocol.
  10. Organize and manage renewal of corporate documents, licenses and agreements in systematically.
  11. Handle sensitive & confidential information with discretion.
  12. Translating corporate correspondences, memorandum & presentations including drafting & translating from English to Malay and vice versa.
  13. Manage & coordinate to provide support to Japanese expatriates in areas such as accommodation, utilities and various other assistance for any additional request.

Requirement:

At least 4-5 years working experience in a similar or related role.

Strong attention to detail and excellent organizational skills with ability to manage multiple tasks simultaneously.

Effective communication and interpersonal abilities.

Proficiency in English & Malay language, written & spoken.

Able to speak and write Japanese is an advantage.

Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.

Ability to work independently with minimal supervision and to handle sensitive and confidential information with discretion.

Strong qualities and able to communicate with all levels.
