A property management company in Kuala Lumpur is seeking an Executive for Leasing & Tenancy Administration. The role involves preparing and managing tenancy documentation, maintaining accurate records, and liaising with legal and internal departments to ensure compliance. Ideal candidates should have a Bachelor’s degree or Diploma, 1-2 years of relevant experience, and strong organizational and communication skills. The company offers a dynamic working environment where you will support important leasing operations.
Prepare, review, and manage all tenancy-related documentation, including Letters of Offer, Tenancy Agreements, Renewals, Terminations, Payment Requests, and stamping arrangements.
Maintain and update accurate tenancy records, including lease terms, renewal schedules, tenant profiles, and related documentation.
Monitor and track lease expiries, follow up on renewals, and ensure timely execution of agreements.
Liaise with legal advisors, external parties, and internal departments on tenancy-related matters to ensure compliance with company policies and statutory requirements.
Foster and maintain good tenant relationships by providing prompt responses to enquiries, feedback, and tenancy matters.
Coordinate with Finance and Facilities teams on tenant billing, collections, and operational requirements.
Monitor rental, service charges, and utility payments; follow up on overdue accounts and late payment interest.
Participate in joint inspections during tenancy commencement and termination, ensuring premises are handed over in proper condition.
Support budgeting, reporting, and rental income forecasting activities.
Attend to leasing enquiries and channel them to the relevant Leasing personnel for further action.
Coordinate with internal departments (Fit-Out, Operations, Security, and Building Maintenance) for tenant fit-out and operational readiness.
Prepare tenant handover kits and ensure all tenancy requirements are fulfilled before commencement of occupancy/operations — including payment of deposits, submission of required documents, obtaining necessary government approvals, and completion of vetted design/layout plans.
Ensure proper cessation of occupancy/operations and compliance upon tenancy expiry or termination.
Assist in preparing periodic reports, tenancy summaries, and performance updates as required by management.
Perform any other related duties or assignments as directed by superior from time to time.
Bachelor’s Degree or Diploma in Property Management, Real Estate, Business Administration, or a related field.
Minimum 1–2 years of working experience in tenancy administration, leasing coordination, or property management (commercial or retail experience is an added advantage).
Strong attention to detail with good organizational and documentation management skills.
Excellent communication and interpersonal skills to handle tenants and internal stakeholders professionally.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and familiar with property management systems.
Able to work independently with minimal supervision and manage multiple priorities in a fast-paced environment.
A proactive, responsible, and service-oriented attitude with strong problem-solving abilities.
