A leading automotive company in Malaysia is seeking an Executive Secretary to provide comprehensive support to the Director. This role includes managing calendars, handling confidential documents, and preparing essential reports in both English and Bahasa Malaysia. The ideal candidate will assist in budget monitoring and liaising with various stakeholders, ensuring smooth departmental operations. Successful applicants will demonstrate strong organizational skills and effective communication proficiency.
Provide full secretarial support to the Director, including scheduling, correspondence, and confidential document handling.
Manage daily calendars, appointments, and travel arrangements to ensure smooth operations.
Prepare, draft, and review official letters, reports, and presentations in English and Bahasa Malaysia.
Organize departmental filing systems, records, and documentation for compliance and easy retrieval.
Coordinate departmental meetings, prepare agendas, record minutes, and track follow-up actions.
Support departmental administration including budget monitoring, procurement requests, and resource coordination.
Liaise with internal teams and external stakeholders to facilitate effective communication and workflow.
Assist the Director in compiling and analysing departmental data for management reporting.
Contribute to the preparation of business plans, KPIs, and strategic initiatives aligned with company’s direction.
Provide proactive support in monitoring progress of departmental projects and preparing executive dashboards.
