Responsibilities
This position is responsible in supervising and leading the day to day customer services role and activities effectively. To ensure timely and accurate movement of freight and information, while providing exceptional customer service within the Sea Import Department.
- Ensure smooth and timely freight process flow
- Ensure accurate and timely data entry into our operational system
- Track and trace sea import files and reporting
- Use workflows on daily basis
- Ensure arrival notices are communicated to overseas and customers
- Ensure accurate and timely clients and service providers billing
- Interact with our customers in arranging their international shipments, meeting customer service standards
- Contribute to maintain good relationships with suppliers (carriers, trucking companies and others involved)
- Meet compliance at all times with internal and external regulations in accordance with government regulations
- Understand department process flow, looking for best practices to improve operational efficiency and productivity
- Ensure all customers standard operating procedures are in place and updated
- Meet KPI standards in accordance with the Company\'s procedure
- Overseas communications, timely responses to emails and requests (internal and external)
- Escalation of problems to Management when necessary
Qualifications
- Open to fresh graduates or candidates with up to two (2) years of experience in logistics, freight forwarding, or transportation.
- Diploma or bachelor\'s degree in a relevant field preferred.
- Familiarity with ocean freight operations and supply chain concepts is an advantage.
- Eagerness to learn and grow in a dynamic, fast-paced, customer-oriented logistics environment.
- Strong analytical skills and a proactive approach to problem-solving will be advantageous.
- Effective Communication – Demonstrates professional and courteous communication in all interactions.
- Language Proficiency – Fluent in written and spoken English for business communication, and Malay for liaising with legal authorities such as port, customs, and government agencies.
- Customer Service Orientation – Strong interpersonal skills to maintain positive relationships with customers and internal teams.
- Compliance and Policy Adherence – Ability to follow company policies, SOPs, and customer-specific requirements for seamless shipment execution.
- Healthcare/Pharma Handling – Skilled in executing shipments in line with organizational guidelines, customer requirements, and GDP principles.
- Problem-Solving and Decision-Making – Proven ability to address challenges proactively and make sound decisions.
- Organizational and Teamwork Skills – Well-developed skills to ensure efficient operations and collaborative work environments.
