Job summary

A technology company in Malaysia is seeking an Executive Support professional to provide high-level administrative support to the CEO. Key responsibilities include coordinating special projects, managing communications with stakeholders, and preparing meeting materials. The ideal candidate will have a diploma or degree in a relevant field, along with 5-8 years of experience in administration and secretarial roles. Strong skills in Microsoft Office and a commitment to confidentiality are essential.

Qualifications

  • Executive Secretary Certification would be an advantage.

Job description
Executive Support

Provide high-level administrative and operational support to the CEO, including calendar management, meeting coordination, travel arrangements, correspondence handling, and record management. Act as a key point of contact for stakeholders while ensuring strict confidentiality and protection of the CEO’s interests.

Project Management

Coordinate and manage special projects and initiatives assigned by the CEO. Ensure timely execution, alignment with organizational objectives, and effective monitoring to support the successful delivery of strategic priorities.

Communication

Serve as the main liaison between the CEO and internal/external stakeholders. Facilitate clear, accurate, and timely communication to strengthen collaboration and support organizational effectiveness.

Meeting Preparation

Prepare and coordinate all meeting-related materials, including agendas, presentations, and minutes. Ensure the CEO is well‑prepared and informed to enable effective discussions and decision‑making.

Confidentiality

Handle sensitive information with the highest level of discretion. Ensure compliance with relevant laws, regulations, and access limitations while maintaining confidentiality to uphold trust, integrity, and professionalism.

Ad‑hoc Duties

Undertake ad‑hoc tasks and short‑term projects as assigned by the CEO, demonstrating flexibility and the ability to respond effectively to unplanned or urgent requirements.

Job Requirements
