Executive Assistant
Job Description

Cultivar Asia is a corporate services firm offering HR outsourcing services. We are currently seeking a highly motivated and organized Executive Assistant to support our Managing Director.

The successful candidate will be responsible for managing the MD's schedule, handling correspondence, and ensuring smooth operations in the office.

Responsibilities
  • Manage the MD's calendar, schedule appointments, and coordinate meetings
  • Screen and prioritize incoming emails, letters, and phone calls for the MD
  • Prepare documents, presentations, and reports for meetings and presentations
  • Make travel arrangements and accommodations for the MD's business trips
  • Assist in organizing company events, conferences, and workshops
  • Act as a liaison between the MD and internal/external stakeholders
  • Handle confidential information with discretion and professionalism
  • Provide administrative support to other team members as needed
Requirements
  • At least 3 years of experience as an Executive Assistant or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), especially MS Excel and PowerPoint.
  • Excellent communication and interpersonal skills
  • Strong organizational and time-management abilities
  • Meticulous attention to detail and high level of accuracy
  • Ability to multitask and prioritize tasks effectively
  • Self-driven with a proactive approach to problem-solving
  • Fluent in at least two local languages (e.g. English, Malay, Mandarin, Tamil)
  • Availability to be on standby during off-working hours for urgent matters
