A reputable infrastructure company located in Petaling Jaya, Malaysia, is seeking a Document Controller to manage incoming and outgoing correspondence efficiently. Responsibilities include registering correspondence, ensuring proper document management practices, and assisting project personnel. Candidates should have at least 2 years of relevant experience, a Diploma or Bachelor's Degree, and knowledge of document management systems. The company values health and safety as per regulatory standards.
Receive, scanning and register into Master List of all incoming correspondence address to HQ Office.
Distribute / circulate all the incoming hard copy correspondence to Secretary and Project Site Document Controller for further action and notes by the Project Director.
Distribute / circulate all the incoming hard copy correspondence to Internal Department that are not related to the project documentation.
Scan and upload all the project Confidential and Commercial correspondence into Team Binder in Eight EDMS for record and archiving.
Checking, Sorting and Photocopy to the stated recipient of all hard copy outgoing letter and pass to Dispatch for courier.
Ensure of all hard copy outgoing letter acknowledgement are properly recorded and filed.
To perform any other related duties when required by the Document Control Manager and Management Team from time to time.
To take reasonable care for the Health, Safety, Environmental and Welfare as per the Occupational Safety & Health Act, company policy and OSH Management System.
Knowledge of SmartSolve Document Management or Team Binder and document capture / image capture systems.
Minimum of 2 years’ experience in document or records management.
Experience working with many file types.
Ability to find and preserve paper documents.
Basic understanding of construction documents.
Candidate must possess at least a Diploma or Bachelor’s Degree or any other qualifications related.
