Job Responsibilities
Investor Relation Matter
- Manage day‑to‑day administrative tasks including email correspondence, scheduling meetings, and handling phone inquiries.
- Maintain accurate records, databases, and files pertaining to investors and company executives communication.
Company Secretarial Matter
- Maintain proper filing and update for all corporate secretarial documents of the company.
- Coordinate with external company secretaries on relevant matters.
- Assist in the preparation of board resolutions, meeting minutes, statutory forms and other corporate secretarial documents according to the standard format for external company secretaries’ proper submission to the relevant authorities.
- Prepare meeting agendas, minutes, and other documentation as required.
Organisational Events
- Coordinate with the events planning, organization, and execution of events such as conferences, seminars, and ESG activities.
- Maintain accurate records, databases, and files pertaining to events, and other association activities.
- Assist with logistical arrangements including venue booking, catering, and attendee registration.
- Maintain up‑to‑date relevant data pertaining to all the programmes / projects activities and provide an accurate minutes of meeting report timely.
- Maintain a high level of confidentiality in matters concerning the Board and all stakeholders.
- Perform any other special tasks and responsibilities as and when assigned by the Management from time to time.
Internal Audit
- Conduct internal audits, ensuring all systems against applicable laws, legislation, regulations and company policies and procedures in accordance.
- Participate and contribute actively to continuous improvement activities.
Boards Matter
- Communicate with the board members for company and corporate level matters.
- Assist in preparation of board meetings and shareholders / members meetings.
- Periodic shareholding analysis.
- Other assignments by the management from time to time.
Qualifications & Experience
- Bachelor’s degree in business administration, or a related field.
- 2 years work experience in a similar administrative role, preferably within a trade association organisation.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills in English language.
- Proficiency in Microsoft Office, Excel and PowerPoint and other relevant software applications.
- A proactive attitude, attention to detail, and a collaborative approach to work.
