Job summary

A leading automation solutions provider in Bayan Lepas, Malaysia is seeking a procurement officer responsible for maintaining purchase records, vendor coordination, and timely procurement of materials. Candidates should possess a Diploma or higher in Business Administration and preferably have 1–2 years of experience in a contract manufacturing environment. Bilingual proficiency in Bahasa Melayu, English, and Mandarin is required. The role offers opportunities for fresh graduates as well.

What You Will Do:

• Maintain proper records of purchases, quotation, suppliers' information and documentations.
• Purchase the right parts/quantities with the required quality, on time to minimize production loss hours / obsolescence and to meet the Master Production Schedule.
• Responsible for selecting and coordinating vendors from the Approved Vendor List for purchases.
• Checking availability and confirming of orders with the vendors in respect to price, quality and delivery dates.
• Follow up on outstanding purchase orders and expedite delivery of goods send in JIT (Just in Time).
• Manage daily processing of replenishment orders (Stocked & Ad-hoc) to ensure timely delivery, including releasing orders to suppliers, updating and follow up for ETAs, etc.
• Re-schedule in and out for all the ordered.
• Source Purchase Direct/Indirect Materials/Services according to specification.
• Handle procurement for facility management needs including maintenance, security, janitorial services, utilities, office equipment, and supplies.
• Prepare and evaluate RFQs, negotiate contracts, and ensure compliance with company procurement policies.
• To plan, source & develop new potential vendors at the competitive price, quality & lead time.
• Embark on cost reduction activities & participate in regular cost saving program.
• Responsible for evaluating suppliers that meet sourcing policy and customer requirements.
• Evaluate supplier pricing at the time of quoting to obtain the best available price.
• Plans and executed project assignments related to purchasing as assigned by Management.
• Develop and maintain supplier relationships with the quality, on-time delivery, cost and lead-times.
• Ensure all purchase products and services from supplier/subcontractors are subject to quality requirement and comply with national standards.
• Expedite and elevate supplier delivery commitments to support production requirements.

What You Will Bring (Required Qualifications):

• Possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s Degree, Postgraduate Diploma, or Professional Degree in Business Administration or a related field.
• Preferably 1–2 years of experience in a contract manufacturing environment.
• Fresh graduates are encouraged to apply.
• Bilingual or multilingual proficiency in Bahasa Melayu, English, and Mandarin, in line with business requirements.
