Job description

• Manage all office related needs (including cleaning contractor, pest control, stationeries, office tidiness, safety, and other general administrative matters).

• Require to support the adhoc trade, non-trade and sales related arrangement.

• Ensure proper maintenance of distributors and customers documentation to allow easy retrieval by the sales and marketing team including Company Profile, General Information, Communication Matrix, Letter of Authorization, Distributor Agreement, Quality Agreement, GDPMD Agreement, Customer Satisfaction Survey, Post Market Surveillance Record, Distribution Records and other related documents required by the sales and marketing department.

Sales and Marketing Support Responsibilities
  • Coordinate and support sales and marketing-related activities including logistics arrangement for events/ internal stakeholders/visitors, meetings, workshops, exhibitions, and conferences.
  • Prepare and arrange shipment of demo goods and exhibition materials, including return handling when applicable.
  • Fully responsible demo goods management and marketing collaterals/gimmicks inventory.
  • Follow up with the speaker on agreement, honorarium and payment arrangements.
  • Assist internal stakeholder with traveling arrangement such as flight bookings and visa applications, in accordance with the SOP and the Company's procedures.
  • Handle corporate hotel rate negotiations and maintain the approved hotel list.
  • Sourcing marketing gimmicks in line with marketing requirements.
  • Raise purchase requisition upon request.
  • Ensure proper record keeping of ISO/GDPMD documentation related to sales and marketing, in compliance with SOP requirements.
Reports and Analysis
  • Generate sales reports as required by the business including weekly and monthly sales reports for designated team, as well as Flexi or ad-hoc reports upon request.
  • Analyze sales performance against budget and targets.
  • Support the Head of Department and Managing Director in various functions including preparation for meetings and visits.
  • Any other jobs assigned by the team from time to time.
Qualification / Education Background

Minimum qualification is Diploma in Business Administrative, Marketing, Management or equivalent in the related field.

Experiences
  • Possess at least 2-3 years of working experience in the related field.
Preferred Knowledge
  • Maintain professional handling skills and strong working relationships with external and internal customers, colleagues, and customer service management.
  • Strong leadership and communication skills with a good teamwork spirit.
  • Basic skills in using Microsoft Applications, especially Excel and Word.
  • Ability to speak and write in English and Malay and proficiency in Mandarin an additional advantage.
  • Able to work independently with minimal supervision and demonstrate a good level of responsibility.
