Job summary

A leading HVAC company in Malacca City is seeking a Sales Administration Executive to provide administrative support for sales activities. The ideal candidate will have a degree in Business & Administration, proficient in Microsoft Excel and Word, and familiarity with the SAP system. Responsibilities include preparing sales data reports, supporting the sales team, managing inquiries, and ensuring timely report submissions with absolute accuracy. Ability to communicate in Mandarin is a plus.

Qualifications

  • Degree in Business & Administration.
  • Proficiency in Microsoft Excel and Word is essential.
  • Familiarity with SAP System at sales admin level.

Responsibilities

  • Prepare monthly branch sales data for manager meetings.
  • Provide administrative support to sales teams.
  • Compile and prepare sales campaign reports.
  • Handle incoming calls and customer inquiries.
  • Ensure all reports are submitted on time with 100% accuracy.

Responsibilities
  • Prepare monthly branch sales data for manager meetings and other assistance as requested.
  • Provide administrative supports to sales: statement of account, dealer name cards, etc.
  • Prepare all sales campaign report.
  • PrepareDaily sales report& sales data analyse, salesman annual meeting when required.
  • Prepare monthly dealers project sales by models report.
  • Prepare weekly invoice sales summary report.
  • Prepare monthly stock valuation submit.
  • Compile competitor market feedback to sales planning.
  • Prepare monthly opened sales order reports.
  • Handle incoming calls and dealers/ subcom/ customer enquiries.
  • Issuance Purchase Order: signboards, vehicle spraying or other related marketing issues.
  • Issuance Purchase Orders to supplier invoice & submission all the suppliers’ invoices.
  • Submission of office utility (phone electricity water petrol &Indah water).
  • Company business licence to head office for timely payments.
  • Update daily & monthly staff attendance/MC/late/EL &AL reports.
  • Checking on non-executive staff overtime claims.
  • Other staff welfare (uniforms, safety shoes, liaise with HQ for training staff ).
  • Welfare of technicians (safety concern).
  • All reports submission within timely deadline.
  • Ensuring all reports 100% accuracy and no repetition work.
