About the role

We are seeking an experienced Assistant Secretary / Assistant PA to join our team at Lee Choon Wan & Co. in Kuala Lumpur. This full‑time role will provide secretarial support to the firm's legal functions and serve as personal assistant to the Managing Partner.

What you'll be doing
Legal & Document Support
  • Prepare, manage and maintain legal documents, both physical and electronic, ensuring compliance with internal file‑management protocols
  • Assist in preparing closing binders and transaction bibles
Administrative Duties
  • Handle phone calls, email correspondence and liaise with clients, financial institutions and other law firms in a professional manner
  • Monitor deadlines and follow up on outstanding matters
Filing & Lodgment
  • Organise documents and paperwork and maintain a filing system for easy retrieval
  • Coordinate filing with relevant authorities such as SSM (Companies Commission of Malaysia), BNM (Bank Negara Malaysia), and LHDN, and liaise with couriers for dispatch and collection of documents
Billing & Timesheets
  • Prepare monthly billing and disbursement claims
Supporting Managing Partner's Office
  • Provide full support to the Managing Partner on a daily basis, including managing the schedule and prioritising meetings, appointments and events
  • Ensure the Managing Partner is well prepared for all engagements by providing necessary documents and information
  • Plan and execute social events and private functions, including gift buying
  • Attend to other ad‑hoc duties as requested
  • Act as a primary point of contact between the Managing Partner and internal/external stakeholders
  • Manage and filter emails, calls and correspondence on behalf of the Managing Partner
  • Coordinate complex travel itineraries, including flights, accommodations and ground transportation; provide detailed travel agendas and relevant information
  • Maintain strict confidentiality of sensitive information and handle it with the utmost discretion
What we're looking for
  • Minimum STPM or A‑Levels or its equivalent
  • Proven experience as an Assistant Secretary, Personal Assistant or similar support or administrative role
  • Good interpersonal skills and the ability to interact with all levels of people
  • Discretion and confidentiality when dealing with sensitive information
  • Strong organisational and time‑management skills with the ability to multitask and prioritise effectively
  • Excellent verbal and written communication skills in English and Bahasa Malaysia
  • Able to work after office hours, weekends and public holidays when necessary
