Job summary

A manufacturing company in Malaysia is seeking an experienced Administrative Manager to lead and develop a team, oversee procurement, and support expatriate staff. The ideal candidate will have over 10 years of administrative management experience and a Bachelor's degree in Business Administration. Proficiency in Malay and English, as well as Mandarin, is preferred. This role entails fostering an inclusive environment while managing various operational needs and budgets.

Job description

Lead and develop a team of 4 - 6 staff, overseeing all daily administrative operations.

Oversee the procurement and inventory management of office stationery supplies, uniform, PPEs and office equipment.

Supervise all aspects of company vehicles and transportation, including maintenance, scheduling, insurance and enforcement of usage policies.

Coordinate comprehensive support for Chinese expatriate staff, including accommodation and logistics.

Foster an inclusive environment and bridge communication between Malaysian and Chinese staff.

Coordinate company licensing and permits, ensuring timely submission, renewal and full compliance with regulatory requirements.

Source, manage and evaluate vendors for canteen, security, maintenance, reception and transportation to ensure service quality.

Develop and monitor the administrative budget, implementing cost-effective solutions.

Develop, implement and maintain administrative policies and procedures aligned with company standards and local regulations.

Collaborate with the HR department to organize company events.

Requirements

Bachelor’s degree or higher in Business Administration or related field.

10+ years of administrative management experience in a manufacturing environment.

Proven experience in new factory setup, licensing and renovation projects.

Strong leadership with a service-oriented mindset and sense of responsibility.

Solid understanding of office management procedures and best practices.

Proficient in Microsoft Office applications.

Excellent communication and interpersonal skills.

Ability to work effectively in a multicultural setting and manage multiple priorities.

Excellent cross-cultural communication skills; proficiency in Malay and English and Mandarin is preferred.
