Job summary

Job description
Responsibilities
  1. Ensure efficient day-to-day office operations, including office facility maintenance, office supplies procurement, vendor management, and general administrative affairs.
  2. Oversee expatriate services and support, including housing arrangements, car rental, travel booking, visa-related matters, and relocation coordination, ensuring compliance and a positive employee experience.
  3. Develop, manage, and review annual administrative budgets; prepare reports, forecasts, and cost analyses as requested by Management for strategic planning.
  4. Monitor and control departmental expenses, conduct cost analysis, and drive initiatives to optimize resources, improve cost efficiency, and achieve savings without compromising operational quality.
  5. Supervise the application, renewal, and upgrading of company certificates, permits, and licenses in accordance with regulatory requirements from relevant government authorities.
  6. Establish and continuously improve administrative policies, standard operating procedures (SOP), and workflows to enhance organizational governance and compliance.
  7. Act as the key liaison for cross-departmental administrative support, ensuring timely resolution of issues and maintaining a high standard of internal customer service.
  8. Support Management in special assignments, business expansion activities, and office-related projects when necessary.
Qualifications
  1. Minimum Diploma qualification or above in Business Administration, Management, or a related field.
  2. Proficiency in Mandarin (spoken and written) to facilitate communication with China Headquarters.
  3. At least 5 years of relevant administrative experience, with at least 2 years in a supervisory or team lead capacity.
  4. Strong leadership, communication, and interpersonal skills with a high level of professionalism and attention to detail.
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); experience preparing reports and performance dashboards is an advantage.
  6. Independent, self-driven, and capable of managing multiple tasks and priorities with minimal supervision.
  7. Solid understanding of corporate governance, organizational structure, compliance processes, and administrative best practices.
