Purpose of the Role

Administrative Executive provides efficient and professional administrative support to the Marketing Department and to assigned portfolios (brands), coordinating internal and external needs, managing procurement and financial processes, and ensuring the timely execution of marketing activities.

What You’ll Do
  • Support the execution of internal and external marketing and sales activities (online/offline, virtual/physical) for assigned brands.
  • Ensure timely approval of procurement and financial processes (e.g., ARIBA, PR/PO requests) and maintain supporting documentation.
  • Manage and monitor sample conversion and tracking, including serial number allocation for marketing activity approvals.
  • Coordinate with approved vendors for compliant and efficient delivery of marketing materials.
  • Plan and schedule business meetings—departmental, inter‑departmental and cross‑function teams—such as cycle sales meetings and monthly performance calls.
  • Prepare business reports, data plans and presentations; coordinate with team members to compile A&P brand trackers, governance meeting minutes and other reports.
  • Maintain department SharePoint sites and folders, ensuring security, access rights and confidentiality of brand information.
  • Support internal and external meetings through effective planning: logistics, agenda, presentation preparation and confidential decision documentation.
  • Maintain orderly business correspondence, project updates, record‑keeping and document management for the assigned portfolio/team.
  • Carry out ad‑hoc duties and participate in company meetings as required to achieve business objectives.

  • Minimum a Diploma in Business, Marketing or a related field.
  • At least 3 years of experience in secretarial and/or executive administrative roles.
