Qualifications
- Highly organized – with ability to multi-task and prioritize
- Good written and verbal communication skills

Responsibilities
- Sorting and distribute incoming Mails/ courier documents to recipient or pigeonhole.
- Check stationary stock/ replenish / order stationary items
- Issue stationary to requested staff
- Order beverages for pantry and cafetaria
- Issue Purchase Requisition/ Receiving in Coupa system for All Admin vendors
- Create new vendor in Coupa system
- Filing of documents/ Medical Chit / Invoices
- Birthday Month Celebration for office and Operations – order birthday cakes/ pastries/ paper plates/ packet drink monthly
- Top up mineral water/ snacks in boardroom
- Other admin tasks- ex-laminating etc.
- Take charge of 2 cleaners for whole plant cleaning matters
- Booking of hotel rooms for guests and arrange ground transportation
- Hiring Process - Create Job Requisition in ORC system
- Liase with Recruitment Agencies / Jobstreet / Mycareefuture portal
- Assist with scheduling interviews
- Arranger pre-employment check for selected candidate / work pass check up (for foreign worker)
- Apply work pass (for foreigner) / Work pass Issuance
- Update new hirer details in ONBASE
- Register new hirer finger print in Dayforce system
- Issue employee access card / employee name put up track in/ out board
- Arrange safety training for new hirer prior join date (AWSHPP course)
- Arrange and coordinating training and development need for employees, update in excel
- Arrange yearly Health Screening for all employees
- Arrange prescription safety glass for all employees except Office employees
- Handle work pass related matters including application, renewals, termination.
- Liaise with MOM for work pass-related matters.
- Checking Employee Attendance in Dayforce
- Update Monthly Records / HR Records for submission
- Employee Attendance Report by departments , submit to HOD
- Employee OT Claim Record
- Safety / Man Hour Record for Safety Manager
- Regular Working Hour/ OT Hour for Finance Manager
- Employee Absentees report
- Training record
- Paid Hours / OT Hours report.
- HR Excel Record
- HR Activities Record
- HR Budget Forecast/ Actual Costing
- Employees Allowances report such as Hardship Allowance, Attendance Allowance, Call out Allowance.
- Manual Template for OT claims/ Allowances Claim
