Position: Administration & Accounts Executive

Abgentil Biomedical is an innovative biotechnology company advancing Cell & Gene Therapy (CGT) in Malaysia and the region. As we grow our operations, we are seeking a reliable and detail-oriented Administration & Accounts Executive to support our daily office operations and finance administration.

This role is ideal for someone who is organized, trustworthy, and enjoys working in a fast-moving, purpose-driven environment.

Key Responsibilities
Administration
  • Manage day-to-day office operations, filing, and documentation

  • Handle correspondence, scheduling, meeting coordination, and travel arrangements

  • Prepare basic reports, letters, and internal documents

  • Liaise with vendors, service providers, landlords, and relevant government agencies

  • Maintain office supplies and ensure smooth office functioning

  • Provide general administrative support to management and project teams

HR & Payroll Coordination (External)
  • Liaise with external HR service provider on:

    • Leave application and balance monitoring

    • Attendance tracking

    • Staff claims and reimbursements

    • Payroll-related documentation

  • Maintain accurate internal records for staff leave, claims, and basic HR matters

  • Support onboarding and offboarding documentation

Accounts & Finance Support
  • Issue invoices and track payments and receivables

  • Manage expense claims, petty cash, and supporting documents

  • Record and organize bills, receipts, and financial documents

  • Prepare basic monthly expense and cash flow summaries

  • Liaise with external accountants and auditors for:

    • Monthly bookkeeping

    • Management accounts

    • Audit preparation

    • Tax-related documentation

  • Ensure timely submission of financial documents and supporting records

Requirements
  • Diploma or Bachelor’s degree in Business Administration, Accounting, Finance, or related field

  • 2–4 years of experience in administration and accounts

  • Basic knowledge of accounting principles and office finance processes

  • Experience working with external HR and accounting firms is an advantage

  • Proficient in MS Office (especially Excel); experience with accounting software is a plus

  • Good command of English and Bahasa Malaysia

  • Highly organized, detail-oriented, and responsible

  • Able to handle confidential information with integrity

  • Comfortable working independently in a start-up / growth-stage company
