Job Purpose
- To provide effective administrative and facility management support to ensure smooth daily office operations and regulatory compliance.
- To coordinate government-related applications, licensing, training facilities, and administrative documentation in support of company operations and compliance standards.
Work Condition
- Office-based with occasional coordination at production facilities (Lot 728, Lot 727, Lot 726).
- May be required to support audits, government visits, training sessions, or company events.
Job Requirements
Education, Qualifications & Training
- Diploma or Degree in Business Administration, Human Resource Management, Office Management, or related field.
Experience, Skills or Specialized Knowledge / Language / Ability to Travel
- Minimum 1–2 years working experience in administration or related role.
- Knowledge of government applications, licenses, and compliance documentation is an advantage.
- Good organizational, coordination, and documentation skills.
- Able to communicate effectively in English and Bahasa Malaysia.
- Familiar with ISO standards, audit requirements, and compliance tracking.
Key Accountabilities / Responsibilities / Activities
- To assist in handling, preparing, monitoring, and coordinating office administration matters related to government applications, agency visits, and inspections.
- To prepare documents and collect required data from departments for grants, trademark registration, awards, and similar applications.
- To monitor and ensure timely renewal of company licenses, permits, and certificates.
- To monitor compliance calendars and deadlines for internal and external audits.
- To set up, organize, and manage training rooms, meeting rooms, and company events.
- To organize, collect, maintain, and file contracts, agreements, and correspondence related to facility management and service providers (e.g. electricity, gas, water, security services) for non-production premises.
- To monitor and maintain office supplies and production-related materials, ensuring sufficient stock levels.
- To follow up on facility-related tasks and ensure timely completion.
- To support compliance with personal hygiene, environmental care, quality, food safety, occupational safety & health, Lean Culture, and ISO 14001 Environmental Management System.
- To support Sustainable Development Goals (SDGs) initiatives.
- To assume corporate social responsibility (CSR).
- To perform other duties assigned from time to time.
