A multinational company is seeking an Admin Executive proficient in Japanese (JLPT N3). The role involves handling various administrative tasks, including HR administration, document management, and providing Japanese language support for communication and translation. Experience in similar roles at small to medium-sized companies is essential. The successful candidate will be responsible for verifying accounting documents, managing staff personal information, and supporting the office's operational needs.
Will need to handle a wide range of administrative duties including accounting document management, HR and attendance administration, and store operation support.
No accounting background required, candidates without experience in account are welcome too.
You will also provide Japanese language support for communication, interpretation, and translation with management and head office, while supporting overall company operations across both the office and stores.
General accounting-related duties
Collect accounting documents (Tax Invoices, Delivery Note, Purchase Order, receipts, etc.) from stores and verify that all amounts and quantities match.
Scan accounting documents and store them in the shared Dropbox with the accounting firm (PHX) and DONQ.
File accounting documents.
And some general work.
Main account job is outsourced.
Store Support
Store Support
Create product price cards.
Create POP (Point of Purchase advertising) materials.
Procure store supplies and equipment.
Request the landlord (MFBBCC) to register monthly new product data into the POS system.
Prepare store change money (exchange into small denominations at the bank).
Note: May be required to work at shop 1–2 times per week.
Note: Work involves moving between the office and shop not staying in the office all day.
General attendance track and record (like register annual leave, track staff attendance, register shift in system, register and deactivate data for resigned staff).
Management of Staff Personal Information
Update staff lists.
File other HR-related documents.
Collect leave applications, medical certificates, and medical receipts from stores and file them.
Verify that sick leave (SL) applications match the dates on medical certificates and medical receipts.
Staff Information Management
Support for onboarding and offboarding procedures.
Onboarding.
General staff info manage (like arrange access card, hygiene training, uniforms arrange, locker keys etc.).
License Renewal
Support for acquisition and renewal of company licenses.
Renew business licenses, signboard licenses, fire extinguisher (BOMBA) licenses, and MiniOne scale licenses.
Prepare documents required for WRT, ESD, and secondment EP renewals in accordance with PHX guidelines.
Contract Renewal & Management
Request quotations one month before contract expiration for insurance and serviced office contracts.
Provide interpretation and translation support.
Support for HQ
Japanese interpretation and support.
Translate head office training manuals.
Provide life infrastructure support for staff (overall living environment setup).
Liaise with HR at the Japan head office.
Market Research
Research trends.
Research popular restaurant rankings and menu.
Requirement:
Experience of handling multiple tasks at Small and medium-sized companies.
At least few years of Admin experience.
No accounting knowledge is required. The main tasks involve checking numbers on documents and organizing paperwork.
Japanese (JLPT2 level) - as the title if JLPT N3 with fluently and good in Japanese will be welcome too.
Working hour: Monday to Friday 8:30am-5:30pm.
