Job summary

A dynamic food service company in Kuala Lumpur is seeking an Admin Executive to manage office administrative tasks and support HR and Operations. Responsibilities include filing, data entry, coordinating with teams, and ensuring timely payments to suppliers. Ideal candidates should possess a Diploma/Degree or SPM with experience, and demonstrate strong communication skills in English and BM. Job Purpose

To handle all office administrative work and support HR + Operations.

Key Responsibilities
  • Filing, scanning, documentation, courier arrangements.
  • Update spreadsheets, DOs, invoices, data entry.
  • Coordinate with HR, warehouse, and management on daily tasks.
  • Help maintain office supplies and purchasing tracking.
  • Support HR with letters, employee files, onboarding docs.
  • Answer calls, messages, emails; communicate with suppliers/customers.
  • Arrange meetings, prepare minutes and follow-ups.
  • Process supplier payments on a daily basis, including collecting, verifying, and matching DOs and invoices.
  • Prepare supplier payment requests for management approval and update the payment tracker.
  • Follow up with suppliers on billing discrepancies, missing documents, and payment status.
  • Work closely with Finance and Procurement to ensure timely and accurate payment processing.
