Qualifications

Job scope
  • Perform daily data entry and generate financial reports using the SQL Accounting System.
  • Assist in maintaining full sets of accounts (AP, AR, and GL) with high accuracy.
  • Systematically organize and archive all financial documents (Invoices, Receipts, Payment Vouchers).
  • Perform monthly bank reconciliations to ensure cash book accuracy.
  • Reconcile daily/weekly sales statements from Shopee, Lazada, Shopify, and TikTok Shop.
  • Verify that platform payouts match actual orders shipped and identify any missing payments.
  • Audit and track merchant fees, shipping subsidies, and marketing expenses (Ads/Vouchers) deducted by platforms.
Credit & payment management (AR/AP)
  • Issue invoices, delivery orders (DO), and credit/debit notes for distribution partners.
  • Monitor aging reports and proactively follow up on overdue payments from retailers.
  • Manage payments to brand principals (suppliers) and ensure timely settlement of office utilities/rent.
  • Coordinate monthly physical stock‑takes and reconcile data with the SQL system to prevent stock loss.
  • Lead the transition to e‑invoicing, ensuring all transactions comply with LHDN 2026 mandates.
  • Prepare data for SST filings and provide necessary documentation for year‑end audits and tax agents.
Administrative & HR support
  • Oversee general office maintenance and pantry inventory.
  • Manage staff claim processing and maintain basic HR records (Leave/Attendance).
Job requirements
Minimum qualifications
  • Education: Diploma in Accounting, Finance, Business Studies, or a professional certificate (e.g., LCCI, CAT).
  • Language: Proficiency in Mandarin is preferred for effective communication with suppliers and handling product documentation.
  • Core skills: Basic bookkeeping knowledge and a high degree of accuracy in data entry.
  • Attitude: A meticulous, organized, and proactive mindset with the ability to work in a fast‑paced e‑commerce environment.
Preferred skills & advantages (nice‑to‑have)
  • Software proficiency: Experience with SQL Accounting System or AutoCount is a significant advantage.
  • E‑commerce experience: Prior experience reconciling sales from platforms like Shopee, Lazada, or TikTok Shop.
  • Advanced Excel: Familiarity with VLOOKUP and Pivot Tables will be prioritized.
  • Compliance knowledge: Basic understanding of SST filings and the upcoming LHDN e‑invoicing (MyInvois) mandates.
  • Statutory familiarity: Basic knowledge of Malaysian statutory requirements (EPF, SOCSO, EIS).
