Job Overview

We’re looking for a Lead Zone Coordinator to keep our live events and experiential activations running like clockwork across designated venue zones. You’ll be the on-site point person who ensures every detail — from branding and staffing to logistics and client needs — is executed flawlessly. This role is perfect for someone who loves the buzz of live events, stays calm under pressure, and takes genuine pride in delivering unforgettable fan and client experiences.

What You’ll Do
  • Own your assigned zone(s) during event build, show days, and strike, acting as the central point of contact for staff, vendors, and clients
  • Conduct regular walk-throughs and zone checks to ensure branding, signage, activations, and assets are installed correctly and on-brand
  • Brief, deploy, and supervise zone-based staff (brand ambassadors, team leads, specialists) and troubleshoot any staffing issues in real time
  • Liaise with production, operations, and client teams to solve problems quickly and keep everything on schedule
  • Manage zone inventory, consumables, and assets — tracking usage, re-stocking, and reporting shortages before they become issues
  • Capture photo/video recaps and complete post-shift reports to document execution quality and key learnings
  • Support load-in and load-out, including basic manual tasks when needed — we all pitch in
  • Proactively identify risks or opportunities in your zone and communicate them clearly to the Site/Operations Manager
What We’re Looking For
  • Full professional fluency in English and Spanish (speak, read, write) – you will translate live daily with crews, vendors, venue staff, and FIFA representatives
  • 2+ years of on-site event, experiential marketing, venue operations, tour management, field marketing, or brand activation experience (major sports, global events, FIFA, Copa América, Olympics, or World Cup strongly preferred)
  • Proven leadership of part-time or temporary staff in high-pressure, fast-paced environments
  • Eagle-eye attention to detail – you notice when something is 2 inches off or a sign is slightly crooked
  • Calm, decisive problem-solver who thrives when plans change last-minute and can make smart decisions under pressure
  • Excellent communicator – comfortable giving clear direction to staff and confidently escalating issues to senior managers or FIFA clients
  • Physically capable of long hours on your feet, lifting up to 50 lbs, and working outdoors in heat, cold, rain, or any weather
  • Valid driver’s license with clean record and ability to travel freely across the U.S., Canada, and Mexico
  • Full availability January–August 2026 (intense schedule including weekends, holidays, and extended hours)
  • Proficiency with Google Suite, Box, Slack, WhatsApp, iPhone photo/video tools, and intermediate Excel skills (pivot tables, change logs, inventory tracking)
Core Responsibilities (by Category)
  • Customer Communications (FIFA, Venue Managers, TSVOs, Clients)
  • Act as the single point of contact for your entire zone during prep, build, show days, and strike.
  • Conduct daily updates with venue managers, logistics partners, and labor leads on any emerging issues.
  • Communicate clearly and confidently in both English and Spanish with crews, vendors, FIFA staff, venue managers, and TSVO representatives.
  • Serve as the live translator and bridge between English-speaking FIFA/client teams and Spanish-speaking labor/install crews.
  • Translate quick verbal instructions, safety briefings, and last-minute changes on the fly.
  • Proactively elevate risks or opportunities to the GM (Matt) via WhatsApp or call.
  • Respond to texts, calls, or Slack messages from Matt within 5 minutes during working hours.
  • Attend bi-weekly Zone Coordinator prep calls.
  • Maintain a professional, positive, solution-oriented attitude with FIFA clients at all times – even under stress.
  • Deliver short daily video updates in English when requested (30–60 seconds).
  • Take genuine pride in making your zone look flawless every single day – and communicate that standard relentlessly to every team member.
  • Install (Setup, Training & Execution)
  • Brief, deploy, team leads, and labor (many Spanish-speaking) – primarily via phone, WhatsApp group chats & emails.
  • Collect, review, and upload photo/video recaps after every set up and tear down (sourced from team leads).
  • Coordinate load-in and load-out; personally confirm forklift, equipment, and labor are on site for both.
  • Own all change-control documentation for your zone and relay updates to crews in both languages.
  • Train local labor on install standards using English, Spanish, and visual aids.
  • Verify forklift and equipment deliveries; coordinate directly with Spanish-speaking drivers when needed.
  • Enforce safety protocols and deliver rapid safety talks in Spanish when required.
  • Handle last-minute artwork or signage changes and push updates instantly to teams.
  • Break/Fix (Issues, Maintenance & Recovery)
  • Troubleshoot staffing issues instantly (no-shows, language barriers, performance issues) based on real-time reports.
  • Manage zone inventory and consumables; submit variable/change requests immediately as needed.
  • Manage lost/damaged items; file reports while communicating directly with Spanish-speaking venue staff as needed.
  • Flag any union-labor, permitting, or customs issues immediately (especially critical in Mexico and select Canadian venues).
  • Assist with customs paperwork and border-crossing coordination for Mexico-zone deliveries (Spanish fluency essential).
  • When/Where (Availability, Mobility & Admin)
  • Complete detailed post-event reports using the provided template.
  • Remain on rotating 24/7 on-call for emergencies in your zone (phone always on).
  • Travel between venues in your zone as needed (valid driver’s license and clean record mandatory).
  • Carry a fully charged zone phone at all times with WhatsApp, Slack, and translation apps ready.
  • Keep digital folders perfectly organized (photos named by venue/date/issue).
  • Understand Excel at an intermediate level: accurately input changes, update tracking sheets, create simple pivot tables, and generate reports as needed (daily/weekly change logs, inventory counts, labor hours, etc.)
