Personal Assistant and Medical Secretary

Do you want to work in a Child and Adolescent Mental Health Service (CAMHS)? Do you have PA/secretarial/administrative experience and want to use your skills to help support one of our Consultant Psychiatrists and our Modern Matron as well as our Multi Disciplinary Team (MDT) in caring for vulnerable young people? Then we would love to hear from you!

Exciting opportunities have arisen to join our small friendly admin team at both Bluebird and Austen House as a Medical Secretary to a Consultant Psychiatrist and PA to our Modern Matron.

We are looking for someone that can demonstrate a good level of PA and secretarial experience including minute taking. You will need excellent interpersonal and communication skills, both written and orally and have a methodical and flexible approach. You will need to be able to prioritise workloads in order to meet deadlines, while maintaining a professional approach. Applicants should be highly proficient in the use of Microsoft Office applications e.g. Outlook, Word, Excel etc.

Main duties of the job
  • To manage the diaries for the Consultant Psychiatrist & Modern Matron for the unit.
  • Participate in ensuring the unit's electronic diary is accurate and up to date at all times to include such information as ward rounds, meetings, assessments etc.
  • Plan and organise meetings, both internally and externally, conferences and development events including Away Days and any other special events as required by the Consultant Psychiatrist & Modern Matron for the unit.
  • Accurate transcription.
  • Acknowledge, compile and type all correspondence, reports and clinical documentation generated by the Consultant Psychiatrist & Modern Matron and draft responses as appropriate. Convert tabular information into a spreadsheet and graphical format and administer any relevant databases.
  • Ensure collation and distribution of relevant confidential and often sensitive information.
  • Liaise and communicate effectively with internal and external organisations, staff and service users and parent/carers as required.
  • To provide administrative support in investigations that are taking place within the service as assigned to the Consultant Psychiatrist & Modern Matron for the unit.
  • To co‑coordinate and communicate with relevant staff and personnel in arranging disciplinary hearings, ensuring all relevant communication and correspondence is undertaken with Human Resources and key staff involved.

Person Specification
  • NVQ Level 4 or Higher Education Certificate/BTEC or equivalent experience
