At UBC, we believe that attracting and sustaining a diverse workforce is key to the successful pursuit of excellence in research, innovation, and learning for all faculty, staff and students. Our commitment to employment equity helps achieve inclusion and fairness, brings rich diversity to UBC as a workplace, and creates the necessary conditions for a rewarding career.

Job Description Summary

The Recruitment Marketing and Prospective Student Engagement (RMPSE) team plans and implements a variety of marketing and promotional strategies to support the university’s goal to recruit qualified undergraduate international and domestic students to UBC (both campuses). The Marketing Projects Coordinator is a key position within the RMPSE team.

The Marketing Projects Coordinator plans and develops marketing and recruitment products in print, web, video, and other media to promote UBC within the province, across Canada, and around the world. The objective of these marketing and communications projects is to reach and engage prospective undergraduate students in key markets (as determined by UBC’s leadership) and to provide those students with the information they need in order to learn about UBC’s attributes and to determine if UBC is the right choice for them.

This role develops and executes these marketing and recruitment products knowing that they must also satisfy the information needs and interests of international and Canadian high school counsellors, students, parents, and others who influence student decision-making regarding prospective students’ post-secondary educational plans.

Organizational Status

Reports to the Associate Director, RMPSE. Works closely with other colleagues on the RMPSE team, with domestic and international recruitment teams, with representatives from the faculties, with UBC Marketing and Communications, with University Relations, with Enrolment Services teams, and other relevant constituents on marketing projects that align with UBC’s brand and that support the recruiting teams’ overall objective to recruit, admit, register, and retain qualified domestic and international students in UBC’s undergraduate programs.

Work Performed

Publications and print collateral projects

  • Plans and executes annual marketing and communications projects, especially the print marketing collateral that supports prospective student recruitment during recruitment and yield events.
  • Oversees the design and development of a variety of print media and promotional items (e.g., Student Guide, Indigenous Student Handbook, brochures and one-pagers, swag and booth materials, etc.).
  • Ensures all recruitment materials support and reinforce UBC’s key recruitment messages, and adhere to UBC’s brand language and tone of voice.
  • Develops and executes the strategies that link printed materials to digital materials, working closely with RMPSE team members and with subject-matter experts in the recruitment teams.
  • Develops project timelines and schedules, and ensures they are met.
  • Develops project estimates and cost projections, and ensures projects are completed within budget.
  • Creates documentation for Requests for Bids (RFBs) and Requests for Proposals (RFPs) for various marketing/communications projects.
  • Liaises with design consultants, printers, and other vendors to produce marketing and communication products for recruiters to use.

Digital projects and campaigns

  • Manages digital projects and campaigns (including overseeing budgets and schedules), as assigned by the Associate Director and in collaboration with RMPSE team members and subject-matter experts across the university.
  • Liaises with external digital agencies, UBC digital content producers, UBC marketers and communicators, subject-matter experts, and other stakeholders.
Consequence of Error/Judgement

The work and decisions of the Marketing Projects Coordinator have a direct impact on the goals of recruiting teams to market and promote UBC within Canada and internationally. The materials developed have to encourage and motivate domestic and international students from around Canada and the world, within a deeply competitive arena, to select UBC as their study destination.

The materials produced have a profound impact on the public perception of the university and of the quality of its program offerings. Unattractive, poor quality, inaccurate, misleading, or culturally dissonant materials would have a detrimental effect on the university’s ability to attract, admit, and enrol students.

The inability to coordinate multiple projects simultaneously, to meet deadlines, or to bring projects in on budget would seriously undermine the goals of the recruiting teams and would result in increased costs and lost opportunities.

Supervision

Supervision Received: This position reports to the Associate Director, RMPSE, but works with a high degree of independence to plan, prioritize, and execute marketing and communications materials.

Supervision Given: This position does not supervise staff but may supervise student workers and others assigned to the RMPSE team, as well as oversee the work of external agencies and creative consultants on projects.

Minimum Qualifications

Undergraduate degree in a relevant discipline, such as marketing, communications, or public relations. Minimum of three years’ experience or the equivalent combination of education and experience.

  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Preferred Qualifications
  • Experience in effectively coordinating print and digital marketing/communications and/or media projects of all sizes.
  • Demonstrated design experience in print and web would be an asset.
  • Demonstrated experience with relevant software, applications, and project management tools (e.g. Adobe Creative Suite, Canva, Airtable, etc.).
  • Strong project management, planning, and problem-solving skills. Demonstrated ability to exercise initiative, resourcefulness, and sound judgment in carrying out responsibilities.
  • Ability to effectively manage multiple tasks and projects, and to work effectively under pressure to prioritize and deliver several projects to deadlines and within budget.
  • Ability to work effectively both independently but within a high-performance team environment.
  • Ability to be thorough, accurate, and have a high level of attention to detail.
  • Demonstrated strong interpersonal and cross-cultural communication skills. Ability to exercise tact and discretion in dealing with competing interests of stakeholders, and to build consensus and agreement between teams and stakeholders with different priorities.
  • Ability to effectively manage multiple tasks and priorities.
